• Adherence to local data protection regulations (e.g. GDPR).

• Previous Medical administrative or scheduling experience preferred.
• High School diploma or equivalent.
Responsibilities:
Scheduling and Coordination:
• Manage appointments for occupational health related examinations and medical referrals.
• Coordinate medical examination programs efficiently.
• Maintain accurate calendars and schedules for medical appointments.
• Collaborate with external medical providers to ensure timely appointments.
Data Management:
• Review medical files for completeness.
• Enter relevant medical data into the electronic health record system.
• Ensure records are reviewed and approved by the appropriate decision maker.
• Escalate complex issues to the admin team lead.
Administrative Support:
• Respond promptly to questions and redirect inquiries on behalf of other team members.
• Collate monthly medical and appointment statistics.
• Type letters, memos and reports related to department issues.
• Handle correspondence efficiently.
Confidentiality and Accuracy:
• Maintain strict medical confidentiality in line with corporate policy and local regulations.
• Manage a comprehensive, secure filing system for medical records.
• Photocopy, scan, and fax documents related to medical examinations and results.
• Manage both new and archived paper medical records into the electronic medical record (EMR) system.
Customer Service:
• Deliver personalized and high-level customer service support to the workforce.
• Liaise with external medical providers and patients regarding appointment scheduling.
• Handle sensitive information with confidentiality.
Additional Expectations:
• Attend relevant training courses and company mandated programs.
• Handle mail, telephone, email and fax inquiries effectively.
• Generate expense reports using CTREX.
• Adapt and grow as business needs evolve.
