The Houston-Galveston Area Council is one of the largest regional planning commissions in the country with a diverse service area of 13 counties and more than 7 million people.
We make decisions that affect our transportation system, ensure the safety and well-being of our seniors, connect people to jobs, help families recover from natural disasters, preserve water quality for our children, and so much more.
What will I be doing?
- ü Supporting the office of the Executive Director and his Executive Assistant through administrative tasks such as calendar management, scheduling travel, and processing purchases
- ü Providing administrative support for internal and external meetings
- ü Managing the detailed travel process for the department
- ü Oversee the department's budgetary process including managing credit card expenses, reconciling credit cards expenses, and managing purchase orders for expenses large and small
- ü Travel booking, conference registration, travel reimbursements
- ü Processing department invoices, purchasing and maintaining supplies, mail merge, mailings
- ü Maintaining and updating databases such as contact and stakeholder lists
- ü Report preparation, research, and data collection
- ü Conference room reservations, setup and tear down of meetings and events, and arranging and preparing refreshments for meetings
- ü Planning team retreats and other offsite events geared towards team bonding
Key Qualifications
- ü Ability to simultaneously manage multiple tasks and projects while meeting deadlines
- ü Strong attention to details
- ü Service oriented with a high level of professionalism
- ü Strong interpersonal communication skills
- ü Ability to work with diverse groups within the agency and interact with elected officials and other stakeholders
- ü Proficiency in Microsoft Office Suite
- ü Excellent communication skills with the ability to prioritize and meet multiple and sometimes conflicting deadlines
- ü Experience with Goldmine, SharePoint, Agiloft, Concur Solutions, Microix, Social Media Platforms, Constant Contact
- ü Experience working in various program areas that serve the public and government entities
- ü Experience proofreading documents of various lengths
Do you have
- ü Degree with internship in an applicable academic discipline or related field of study
- ü Less than 1 year of relevant experience

Monday-Friday (In office only)
