Major Duties:

Coordinates and performs a wide variety of administrative functions in support of upper level management functions. Organizes flow of operational program processes in an office environment. Develops internal policies, procedures, and work methods affecting administrative management operations. Maintains the department's official files.

Operates a personal computer (PC) and peripheral equipment to produce a variety of correspondence. Enforces procedures on proper naval correspondence rules and correct grammar, spelling, capitalization, and punctuation. Ensures compliance with correspondence rules by reviewing official documents for accuracy and format.

Receives telephone calls and visitors. Screens customer comments and outside contacts, and directs them to appropriate department staff when necessary. Receives and delivers messages to department staff when necessary. Ensures operational security (OPSEC) and Privacy Act compliance when communicating. Arranges meetings and notifies those who are to attend of the topics to be discussed. Prepares detailed or summary reports for meetings when necessary.

Serves as the Responsible Officer for departmental assets. Supports required inventory data collection. Prepares reports and equipment transfers to ensure inventory accountability. Works closely with the Property Management Department to ensure accurate inventory control. Responsible for purchasing information technology (IT) related assets including peripherals, hardware, and software. Submits purchase requests in accordance with established procedures. Ensures that all IT purchases are in compliance with the Information Technology Procurement Request Review/Approval System (ITPRAS). Responsible for the control and proper use of the department's government credit card. Prepares financial statements in accordance with purchase accountability guidelines. Tracks the need for, and orders office supplies when necessary.


Responsible for all mobile devices (cell phones, Wi-Fi hotspot) used by MCCS employees, to include issuance, troubleshooting, and inventory accountability.


Provide basic technical support to end-users, including troubleshooting common software and hardware issues, and escalating more complex problems to the IT team.

Assist with user account management and access permissions.

Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the
higher-level supervisor or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury,
occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned.


Qualifications:

Three years of experience that demonstrates broad knowledge of administrative practices and principles.

Must have at least one year experience working knowledge of a PC with peripheral equipment, and Microsoft Office software, or a similar integrated software program.

A working knowledge of word processing, databases, spreadsheets, and graphics utilization and implementation. Verifiable experience in the performance of a variety of clerical duties, such as typing, filing, record keeping, etc. Must have excellent oral and written communications skills. Must be able to organize and coordinate multiple duties simultaneously. This is a white-collar position where occasional lifting up to 20 lbs. may be required.
