University Health Services provides comprehensive medical, mental health, insurance, and health promotion services to all Berkeley students and health programs for faculty and staff.

Responsibilities:

Clerical, operational, and administrative functions


Reception, phones, appointment making and the scheduling of meetings, workshops, groups along with associated billing; supply ordering; room reservations, copying, managing the calendar for the unit manager.

Word processing for the unit including meeting notes, edits to the unit manual in Drupal. Basic Excel.
Development of staff templates within the electronic health record
Marketing and outreach support.

Assist staff with ordering including price comparisons and paperwork; make minor updates to SOS web pages, gather edits and revisions from staff on a regular basis to ensure information is up to date.

Support SOS staff with mínimal graphics and layout for posters, flyers, brochures, and other computer-related support.

Administers a defined operational program or activities which includes the following functions: student services, human resources, communications, informational technology and safety.

Participates in the development and revision of standard operating procedures and guidelines.
Provides recruitment admin support for the unit as a member of hiring committees.
Assesses and recommends changes to maintain compliance with campus requirements and internal policies.

Gathers and analyzes resource data; prepares reports or analyses of operational activities, evaluates current and proposed services in coordination with unit manager, and provides health record tracking support to unit manager.


Functions as a resource on issues such as service/resource navigation for students and campus partners, escalated customer service problems and vendor concerns.

Triage and refer to manager as needed.


Participates in cross unit committees that support programming across mental health units, providing credentialing and quality assurance support for the Social Services unit, providing admin support to other units related to communications and program operation.


Back up admin support for campus medical withdrawals/academic adjustments and provides general admin related to scheduling, word processing, ergonomics and safety support, unit product orders, and general marketing of services.

Provide primary administrative support to the Post-MSW Fellowship Coordinator and Training Program.

Update the accredited programs spreadsheet in early fall
Follow up with applicants about missing materials/ deadlines
Other duties may be assigned

Required Qualifications

Bachelor's degree in related area and / or equivalent experience / training

Knowledge, Skills and Abilities

Ability to use sound judgment in responding to issues and concerns.
Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
Solid organizational skills and ability to multi-task with demanding timeframes.
Ability to use discretion and maintain confidentiality.
