    The Legal Support Administrator leads, coaches, and develops the legal support managers and staff timekeepers for the Specialized Litigation department, consisting of Construction, Health Sciences Intellectual Property, Insurance + Reinsurance, Intellectual Property, and Labor + Employment. Collaborates closely with Practice Management to ensure a comprehensive understanding of business objectives, operational procedures of practice groups, and potential challenges, thereby providing optimal legal professional support. Fosters and manages relationships with Practice Group leadership, working in tandem with the Practice Management team to fulfill business requirements. Collaborates with the Director of Paralegal Services and Director of Legal Support Services to address complex issues and establish firm-wide standards that align with business and performance objectives.

    Essential Duties and Responsibilities:

    • Oversees Legal Support Managers and Staff Timekeepers, collaborates with Practice Directors to ensure a sufficient level of skilled staff resources to support attorney and client work.
    • Establishes clear expectations and monitors performance of legal support staff and Staff Timekeepers; provides regular feedback to individuals on team; recommends promotions, merit increases and bonuses during annual merit cycle.
    • Regularly connects with attorneys within the practice area to understand their business requirements and provides solutions accordingly.
    • Reviews relevant data to manage workflow and forecast staff growth and attrition, ensuring efficient support to meet attorney and client needs.
    • Recruits, interviews, hires, on-boards, trains, and integrates legal support professional staff into firm and practice group.
    • Collaborates with Practice Management to analyze staff timekeeper hiring needs, drafts business cases for approval by the practice group leader and the Director of Paralegal Services.
    • Proactively engages with other Legal Support Administrators to share and apply best practices to increase productivity and retention.
    • Analyzes legal administrative staff support hiring needs, drafts business cases for approval by the Director of Legal Support Services.
    • Partners closely with Practice Management on the integration of new attorneys, focusing on the interaction with legal support professionals to foster strong relationships and ensure attorney business and support needs are met.
    • Recommends and implements solutions for performance issues, up to and including any terminations, in partnership with the HR Manager and the Director of HR.
    • Serves as a change agent for the team, supporting the firm's vision, embracing innovation and new ideas while also preserving the firm's high-performance culture.
    • Leads by creating an environment promoting a positive morale and encourages growth, productivity, efficiency, performance excellence, and inclusive culture of collaboration throughout the department, whether leading in-person or in a virtual environment.
    Knowledge, Skills and Abilities:
    • Ability to relate to and influence individuals at all levels, internally and externally and build productive relationships.
    • Excellent relationship management skills with ability to influence and maintain productive interpersonal relationships and communication with lawyers and staff at all levels.
    • Strong understanding of how a large law firms operate and using that business acumen to make logical and financially sound business decisions.
    • Ability to forecast and make long-range decisions, sometimes with minimal information, in alignment with overall firm plans and priorities.
    • Ability to identify and analyze complex business issues, bring key stakeholders together as needed, and recommend and implement solutions.
    • Possess a high level of flexibility and adaptability as well as the ability to manage and support change in a fast-paced environment.
    • Capable of identifying personnel issues, developing creative and effective solutions, and resolving conflict through acceptable and practical business solutions
    • Ability to handle multiple tasks effectively and efficiently.
    • High level of discretion and diplomacy.
    • Superior leadership skills, with significant experience in direct people management and employee relations.
    Education and/or Experience:
    • Bachelor's Degree or commensurate professional work experience and/or professional certification.
    • Minimum of eight (8) years of experience in a leadership role effectively managing people managers and senior level professionals; experience in a legal/professional services environment beneficial.
    • Previous law firm experience is required including an intermediate level of practice area knowledge in Intellectual Property, docket management, and litigation procedures.
    • Demonstrated experience and success managing across geographic locations, with a focus on delivering consistent experiences that are relevant by location while aligned to a larger cross-firm approach.
