ESSENTIAL FUNCTIONS

  • Greet and welcome guests that come to the office premises in a friendly & professional manner.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Direct visitors to the appropriate person and office as per the defined procedure.
  • Answer, screen, and forward incoming phone calls.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  • Receive, register, sort and distribute daily mail/deliveries/documents.
  • Perform other clerical receptionist duties such as filing, photocopying etc.
  • Performing adhoc administrative duties.
  • Provide excellent customer service.
  • Performs general administrative support to Program Directors, HR staff, and training staff.
  • Responsible for preparing various reports on a monthly, quarterly, and annual basis.
  • Attend and participate in designated agency related meetings as appropriate; take minutes and distribute as assigned. Assist HR Team with various reports on a monthly, quarterly and annual basis.
  • Support HR and training team with additional assigned support functions.
  • Responsible for ordering supplies.
  • Assist with internal and external HR related inquiries or requests.
  • Entering course completion data into learning management software.
  • Models Center's expectation for sensitivity and competency relating to diversity and cultural inclusion.
  • Other duties as assigned.
EDUCATION/EXPERIENCE

  • High School Diploma; Associate Degree preferred
  • 4 years of related experience
  • Excellent attention to detail and accuracy
  • Experience with Microsoft suite software (word, excel, and PowerPoint)
  • Able to display verbal and written communication skills that meet the requirements of the position and the needs of external and internal customers
  • Manual data entry experience
  • Data transfer experience
  • Experience with Learning Management Systems (LMS)
  • Ability to multitask
  • High attention to detail
