    Site Coordinator

    Medical Device

    Start date: ASAP

    $23-25 p/h

    8-4pm / 8:30-4:30pm

    Wheeling, IL

    Under the supervision of the Senior Human Resources Manager, the Site Coordinator oversees front office administrative tasks and upholds high standards of customer service for clients, visitors, and staff. Additionally, they offer administrative assistance to the Human Resources department and Leadership team as needed. They take charge of and contribute to special projects and fulfil other assigned responsibilities.

    Responsibilities:

    Organize daily front office operations, encompassing reception, phone management, mail handling, administrative support, project oversight, and meeting coordination.

    Offer administrative assistance, such as report preparation, meeting scheduling, data collection, and more.

    Supervise the procurement of office supplies.

    Manage employee files, benefit documentation, and new hire materials.

    Assist employees with inquiries regarding benefit programs and other HR-related matters.

    Handle security badges and oversee the uniform program.

    Aid the HR team in coordinating recruiting activities, including scheduling candidate interviews and participating in job fairs.

    Assist in organizing employee events, activities, and projects, including quarterly recognition luncheons.

    Support associate onboarding processes.

    Adhere to all work regulations, particularly those related to safety, health, and quality.

    Undertake HR administrative tasks, such as managing employee and benefit files, preparing new hire packets, and facilitating interview processes.

    Qualifications and Skills Required:

    • High school diploma or equivalent qualification.
    • 3-5 years of experience in a fast-paced environment; previous administrative experience is desirable.
    • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; advanced Excel skills are preferred.
    • Ability to engage with customers, employees, and management across various organizational levels.
    • Detail-oriented, organized, and capable of managing multiple projects concurrently.
