    Office Support Administrator II - College Station, United States - Garver

    Description
    General Characteristics Provides above basic level administrative support, which may include drafting letters, reports, charts, graphs, etc. using word processing, spreadsheet, database, or presentation software. Screens calls and visitors, prepares agendas, and arranges travel for meetings and special events. Essential Functions
    • Greets incoming guests/vendors and answers phones during normal business hours.
    • Ensures cleanliness of all office areas (outside of janitorial services).
    • Communication with, and coordination of, office cleaning service and repairs.
    • Package pickup and delivery.
    • Sorts and distributes incoming mail and prepare outgoing mail and packages.
    • Orders, check ins, and distributes general office supplies (coffee, vending, break room, restroom, mailroom, etc.).
    • General typing, copying, printing, binding.
    • Scans and sends documents to clients, sub-consultants, and other Garver offices.
    • Scans documents to electronic files.
    • Basic data entry in information systems and databases.
    • Services office fleet vehicles as needed and maintain vehicle logs.
    • Assists with fleet vehicle tag renewals.
    • Plans, coordinates, executes, facilitates, and cleans up office events (holiday party, summer picnic, retirements, morale, etc.).
    • Assists with travel arrangements.
    • Coordinates meetings and lunch and learns (meals, venue, AV, etc.).
    • Assists with agendas and meeting minutes, and attend meetings as needed.
    • Codes, routes, tracks, and records office related invoices/expenses.
    • Prepares expense reports.
    • Generates simple documents such as letters, memos, spreadsheets, and presentations.
    • Drive and champion Garver culture initiatives/Garver Ambassador.
    • Other duties as assigned.
    Education Required High School Diploma or equivalent. College level courses or professional certifications ( preferred ) Experience Required 3 or more years of professional experience. Licenses/Credentials Valid Driver's License. Preferred Qualifications
    • Basic IT experience.

    Physical Requirements
    • Ability to sit for long periods of time.
    • Lifting or carrying up to 30 pounds.
    • Pushing or pulling.
    • Keyboarding.
    • Driving.
    • Stooping, crouching, or kneeling.
    • Ability to hear, understand, and distinguish speech to communicate in-person and on the telephone.
    • Visual acuity to read printed materials and screens.

Work Environment This is an in-office position; duties and responsibilities are generally performed in an office setting. Occasional travel to offsite locations to perform work and work-related tasks or to attend meetings may be required.
