Position

Title:
Middle School Office Assistant

Full Time, Non-Exempt, 10 month


Reports to:
Middle School Principal


Education/Experience Required/Preferred:
A high school diploma is required; AA Degree preferred.


General Responsibilities


Organizes the Middle School office and makes day-to-day administrative and operational decisions under the guidance of the Middle School Principal.

Schedules work, establishes priorities, and ensures deadlines are met. Establishes and maintains office and record keeping systems and procedures. Communicates with parents, manages student attendance, and works directly with the MS Counselor.


Specific Responsibilities

  • Interacts with school offices and parents on behalf of Principal to facilitate communication and critical information exchange. Handles all assigned communication and correspondence including sensitive and confidential matters.
  • Oversees Middles School student attendance.
  • Screens incoming visitors and calls determining what contact or action is required for satisfactory resolution.
  • Assists in the development, preparation, and delivery of publications, reports, correspondence, presentations, proposals, etc., as needed or as assigned by Principal.
  • Maintains confidentiality of office records and student files.
  • Stays current with school organizations such as PTF and updates Principal on new developments and advises on information deemed significant to department operations.
  • Resolves departmental problems or issues often coordinating resolution with other faculty, staff, or school offices.
  • Stays current on revisions to department and school policies and procedures.
  • Manages special projects as assigned by Principal or designee and coordinates the assistance of staff as necessary then follows up on implementation as necessary.
  • Participates in department planning and implementation processes as assigned which may include budget, disaster, policy, program, project, and space planning.
  • Develops and maintains effective communication in and out of department and ensures timely reciprocal exchange of information between Principal and staff, parents, and students.

Qualifications

  • High degree of discretion and confidentiality.
  • Experience with various software programs and comfortable learning new software programs.
  • Strong customer service skills and ability to maintain poise and professionalism in dealing with difficult personalities.
  • Critical thinking skills; ability to research and problem solve; be proactive and selfmotivated.
  • Organized, detail oriented, performs multiple tasks efficiently.
  • Prioritizes and organizes work.
  • Flexible and deals with varied workload and deadlines in a fast paced environment.
  • Excellent verbal and written communication skills.
  • Ability to manage and prioritize multiple responsibilities.
  • AA Degree preferred.
Minimum Experience: 3-4 years

Preferred Experience: 5+ years supervising administrative duties of multifaceted department

This is a full time, 40 hour a week, 10 month position.
