**OVERVIEW**
The Guest Services Coordinators job is to manage and support Guests for all iMedia channels. They create a positive and
professional first impression of iMedia to employees and visitors, including overseeing employee and visitor experience.
**KEY RESPONSIBILITIES**
The Guest Services Coordinators job is to manage and support Guests for all iMedia channels.
Support new Guests with their introduction to the networks.
? Personally discuss Skype instructions and arrange equipment testing sessions.
? Assist new Guests with questions and issues that arise pre-show.
? Help coordinate Guest training as needed.
? Assist in scheduling and running Guest auditions.
Act as the main point-of-contact for all On-Air Guests.
? Support Guests with needs, concerns, or questions prior to their visit.
? Act as the liaison between On-Air Guests and internal business partners (including Live
Show team, Supervising Producers, Line Producers, Creative Teams, Hosts, and Web).
? Assist guests in finding travel, hotel, Uber/taxi services, meals, etc.
Communicate with On-Air Guests prior to shows.
? Coordinate Host/Guest touch base meetings as requested.
? Send out Outlook invites for each hour and pre-pros to each remote guest, and update
if shows change.
Follow up with On-Air Guest after visit has ended.
? Deliver sales results after each show/rotation to Guest.
? Follow up with all teams and Guests to create action items based on feedback and see
that these action items are complete before next rotation.
Maintain Guest communications for scheduling and budget purposes.
? Communicate day-of show changes, including last minute changes, cancellations, and
any time adjustments.
? Confirm show changes with Guest specific to within 20 minutes of when they are
scheduled in an hour.
? Track Skype and contact information and location for each Guest.
? Assign Guest rooms and restock complimentary items in them.

? Address Guest concerns and help facilitate resolutions with the appropriate business
partners.
? Contact late or no-show Guests and models.
? Communicate to the production team when models and guests have checked in for
their shows.
? Use Bright Sign and internal communications for welcoming and communicating
guest/model information.
Create a positive and professional first impression of iMedia to employees and visitors, including overseeing
employee and visitor experience.
Request samples for hosts or guests who need them.
Manage missing inventory, cleaning, and security concerns.
? Maintain inventory of first aid supplies throughout the property.
? Coordinate guest room, daily studio rounds and public area cleaning with the janitorial
staff as needed.
Create, issue, and edit permissions for security badges for employees and visitors.
Additional duties as assigned.
**QUALIFICATIONS / KNOWLEDGE, SKILLS & ABILITIES**
Bachelors Degree in Communications, Hospitality, Marketing, Advertising or Film/Video/digital production, or
related education or experience.
2+ years Customer Service experience required.
1+ year of logistics or scheduling experience preferred.
Microsoft Office skills required, with emphasis on Outlook Meeting Invites.
This position shall be filled on a full-time, on-site basis only.
Will include evening and weekend shifts.
The duties of this role may require frequent travel, including by air, up to 5%.
