    Description

    Position Function:

    The Project Coordinator Associate is a time-limited training position of experiential learning in which the associate will gain competencies in managing the work of a project including coordination, communication, finances, and reporting. The Associate will work side-by-side with assigned Project Manager(s) while being assigned to work in an MSU unit.

    Essential Duties and Responsibilities:


    • Participate in training opportunities, both current and archived, provided through ORED units and LinkedIn Learning (, Project Management Foundations).

    • Research and follow MSU policies relating to project management.

    • Read minimally two resources from these suggested readings or from supervisor-approved resources: Unofficial Project Manager (Kogon, Blakemore, and Wood), The One-Minute Manager (Blanchard and Johnson), Crucial Conversations, The Fred Factor, Better Conversations (Jim Knight), GRIT: The Power of Passion and Perseverance (Angela Duckworth), Start with Why (Simon Sinek); The Servant: A Simple Story about the True Essence of Leadership (James C. Hunter).

    • Prepare a quarterly report that outlines learning experiences and competencies acquired in the reporting period, personal reflection on the quarter's experiences, and possible future application. Include a summary of readings, books, or articles, or participation in webinars during the reporting period.

    • Identify and use project management resources available through Office of Research and Economic Development units and Sponsored Projects Accounting, including, but not limited to, the following topics:

    Office of Sponsored Projects Topics

    • Award notification and set up process, contract review, budget evaluation with project goals, subaward management, sponsor requirement review, research terms and conditions, sponsor negotiation, modifications, technical review, sponsor communication protocol, use of OSP portal

    Sponsored Projects Accounting Topics

    • Award fund set up and maintenance processes, preliminary award (PAR), invoicing, Job Labor Redistribution (JLRF) process, cost accounting standard principles and compliance, monthly ledger and reconciliation, indirect costs, cost sharing, purchasing, budget revisions, no cost extension, close out

    Office of Research Compliance & Security

    • Security, regulatory, and ethics guidelines and trainings as appropriate to project, financial conflict of interest, financial disclosure

    Office of Technology Management

    • Intellectual property assessment, protection, and management technology licensing and commercialization, entrepreneurial support

    Unit Specific (Department, Center, College)

    • Business management processes and support, role of principal investigator and project manager within unit, communication processes with team and stakeholders, digital tools for communication and organization, big picture of project within unit, balance of deliverables with research goals

    • Throughout the one-year term, demonstrate an increasing knowledge of the project management topics listed above.

    Working Conditions and Physical Effort


    • No unusual physical requirements.

    • Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility.

    • Job frequently requires walking, sitting, reaching, talking, hearing, handling objects with hands

    • Job requires standing, stooping/kneeling/crouching/crawling, and lifting up to 10 pounds
