What You'll Do:
We are hiring an Administrative Assistant who will work heavily with our Strategic Sourcing Specialists and our Engineering teams to ensure seamless procurement processes for capital expenditures. As the Strategic Sourcing Administrative Assistant for Engineering Projects, you will be responsible for all Engineering and Procurement purchase orders and ensure invoices are prepared, received, and verified to trigger payments as needed. Your primary responsibilities will include preparing purchase orders for selected suppliers, tracking order fulfillment, confirming and formalizing service completion or goods deliveries, and facilitating a smooth payment process. You'll play a pivotal role in driving efficiency and effectiveness in our procurement operations.
Responsibilities Include (but are not limited to):
Collaborative Partnership: Establish strong relationships with Engineering projects stakeholders, serving as a trusted liaison between Vulcan Materials Company and our suppliers.
Procurement Excellence: Prepare purchase orders accurately and efficiently, ensuring compliance with company policies and procedures. Track order progress and manage delivery schedules to meet project timelines.
Supplier Management: Engage with suppliers to confirm service completion or goods deliveries, resolve any issues or discrepancies, and maintain positive supplier relationships.
Process Optimization: Identify opportunities for process improvement within the procurement lifecycle, contributing to enhanced efficiency and cost-effectiveness.
Financial Oversight: Support the finance team by facilitating a seamless payment process, reconciling invoices, and resolving any payment-related queries.
Skills You'll Need:
Education: Bachelor's Degree in Business Administration, Supply Chain Management, or a related field or equivalent and relevant experience.
Experience: Minimum of 2 years' experience in procurement or administrative roles, preferably with exposure to capital expenditure projects. Must have previous experience with purchase orders and fully understand their purpose.
Attention to Detail: Strong organizational skills with meticulous attention to detail, ensuring accuracy in purchase orders and financial transactions.
Communication: Excellent verbal and written communication skills, with the ability to effectively interact with stakeholders at several levels.
Problem-Solving: Proactive approach to problem-solving, with the ability to troubleshoot issues and implement effective solutions.
Technical Proficiency: Experience with procurement software and/or ERP systems; Proficiency with Microsoft or Google office tools, particularly Excel or Google Sheet.
