    Overview:

    Review all Sales Contracts, Addendums, Final Price Addendums and any additional correspondence submitted to ensure Seller and Broker signatures of approval. Receipt of all Earnest Money and Options Deposits and submittal to Accounting for deposit of money received in Real Estate transaction. Position includes scanning of all fully executed contract addenda and miscellaneous paperwork to Sales Counselor, Lender and Title Company to ensure accurate and current paperwork is received in a timely manner.

    Duties and Responsibilities: (Including but not limited to)

    • Preliminary review of Contract to Title, Accounting and Lender.
    • Review of Sales Contract & Miscellaneous Addendum for Seller and Broker signature.
    • Request Direct Lot Cost from accounting to create Deferred Calculation Sheet for title company.
    • Prepare Closeout Statements for title Company.
    • Prepare StrucSure Warranty application for title company.
    • Oversee Sales Counselors administrative duties to adhere to processes via contracts and Broker Policy Procedure's Manual.
    • Ensure Sales contracts and incentives are entered correctly into Dynamic Builder.
    • Provides Seller documents to title company.

    Key Duties:

    • Update Slotting Board weekly to reflect all Sales.
    • Review of all Sales contracts, Final Price Addendums, Request for Change Orders, Design Studio paperwork and miscellaneous paperwork to ensure pricing and verbiage are acceptable for Seller and Broker signature.
    • Review Option Deposit Forms to ensure deposits are received correctly.
    • Maintain Contract Log Report to reflect sales contract submittal time frames to Seller for Signature. Logging of contract errors made by Sales Counselor. Contracts errors to be graded on scale due to number of errors made.
    • Update and maintain "Contract & Miscellaneous Error Report". This report is emailed weekly as reminder to sales team of corrections pending for submittal to main office.
    • Liaison for Design Studio and Purchasing department to ensure Change Orders and Option & Style Selections form are created and completed accurately.
    • Oversee all Design Studio Finalization dates are turned in per time frames stipulated on the "Buyer Information and Important Dates Addendum".
    • Order and maintains all new community lot files with community address labels.
    • Update Closing Report with dates Closeout and Warranty are sent Title Company.
    • Creating "Community Kick Off Binder" for community startup & Sales Counselors.
    • Help Sales Department on an as-needed basis with miscellaneous administrative duties and projects.

    Qualifications:

    • Computer skills (Office Products, Dynamic Builder)
    • Highly organized with attention to detail.
    • Understands role in big picture.
    • Knowledge of sales process
    • Multi task oriented
    • Good written and oral communication skills
    • Strong interpersonal skills
    • Four (4) year degree from accredited college or equivalent experience preferred
    • High School graduation or equivalency required
