Description
We are seeking a skilled and experienced Maintenance Planner/Inventory Coordinator to join our team.

As a Maintenance Planner, you will coordinate and schedule vehicle maintenance activities to ensure the efficient operation of our fleet.


DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Heavy data entry is done on different computer systems.
  • Plan and schedule maintenance activities, including preventive maintenance, repairs, and inspection of the vehicles and equipment.
  • Coordinate with Mechanic technicians to schedule and prioritize repairs and preventive maintenance tasks.
  • Collaborate with the mechanic team to ensure that all necessary materials, equipment, and tools are available for scheduled work.
  • Use the Fleetio system to develop and maintain a comprehensive preventative maintenance program for all vehicles and equipment.
  • Prioritize maintenance tasks based on urgency, equipment availability, and production requirements.
  • Collaborate with dispatchers and operations teams to minimize downtime, optimize equipment performance, and maximize vehicle reliability.
  • Create detailed work orders with clear instructions for maintenance technicians.
  • Maintain accurate records of maintenance activities, including work performed, parts used, costs incurred, repairs, and equipment history.
  • Calculate metrics such as types and quantities of items produced, materials used, amount of scrap, frequency of defects
  • Monitor preventative maintenance performance with the Mechanic Manager and Operations management to ensure maintenance performance tasks are effective and complete.
  • Monitor equipment performance and identify opportunities for improvement or optimization
  • Ensure compliance with safety regulations and company policies
  • Conduct regular audits and inspections of equipment to identify potential issues and recommend appropriate corrective actions.
  • Analyze vehicle performance data to identify trends and recommend improvements.
  • Maintain vehicle mileage reports and fuel reports.
  • Data entry of vehicle mileage and fuel into the Fleetio system on time and accurately.
  • Support the company by being an inventory control expert.
  • Perform inventory management tasks, including order fulfillment and data collection.
  • Monitor inventory levels of parts and equipment to ensure availability when needed.
  • Contact vendors to obtain pricing, lead time, and backorder information.
  • Monitor inventory levels and initiate purchase orders as needed
  • Complete purchase orders and place orders.
  • Maintain accurate records of maintenance activities, including work orders, vehicle history, and maintenance schedule
  • Maintained parts inventory, including stocking shelves, organizing bins, conducting perpetual bin audits, and parts sheets.
  • Shop/Stockroom Inventory Cycle Counts quarterly
  • Request for quotations and comparison price information.
  • Parts receiving, labeling, scanning into the system, and putting away stock orders.
  • Inspects all incoming inventory for the correct product.
  • Identifies and resolves shipping errors.
  • Handles problems relating to incorrect or damaged stock.
  • Review shipping and receiving documents for accuracy and immediately bring any notices of discrepancies to the manager.
  • Review and compare data accuracy.
  • Research all inventoryrelated discrepancies and make appropriate adjustments in the inventory system.
  • Properly label inventories before placing them in the proper location and record data in the computer.
  • Execute inventory control measures to ensure the company minimizes stock holding and maximizes stock system and paperwork accuracy.
  • Desire to focus on accurate record keeping and ability to process inventory control functions rapidly.
  • Stay up to date with the new inventory Control System.
  • Trac parts were removed from inventory and vehicles, min/max levels were updated, and the spreadsheet was updated.
  • Responsible for all parts ordering, receiving, checkingin, and signing off all receiving documents and entering electronic records in a timely manner.
  • Ability to sustain a high activity level, prioritize, and perform various tasks.
  • Tracking and coordinating returns of parts defects and misships
  • Maintenance and process of Warranty works
  • Enter each mechanic's daily labor tracker into the system. List parts required; work required & work completed.
  • Maintain the PM software/spreadsheets.

  • Audit to ensure mechanics perform routine maintenance and repairs in a timely manner.
  • Conduct preventative maintenance to ensure optimal performance of company vehicles.
  • Compares invoices, purchase orders, and packing slips and receives them for accuracy.
  • Validate an authorized purchase with a purchase order, review costs, quantities ordered vs. received, and invoices.
  • Inspect all incoming inventory for the correct product, serial, and batch numbers.
