    Summary of the Position:

    Tishman Speyer is looking for a Manager, Private Events to join the Studio by Tishman Speyer Events team located at The ZO Clubhouse (66th Floor) at The Spiral in Midtown West, New York City.

    The Private Events Manager plays a primary role in planning and executing events and a secondary role supporting the sales process. This role is pivotal in ensuring seamless events that achieve the high level of service that influences client satisfaction and their likelihood to return. Timely responses, creative suggestions, and an entrepreneurial mindset are essential attributes for success in this role.

    Role

    • The Private Events Manager ensures that private events at the Spiral Clubhouse exceed guest expectations and meet top-tier execution standards. By encouraging customer delight and repeat business this role also supports long-term financial success.
    • Execute special events booked at The Spiral and act as primary contact for client and vendors leading up to the event.
    • Oversee servicing of events within The Spiral
    • Service must maintain an extraordinary level of operational excellence and premium hospitality refinement.
    • Work closely with building personnel, cleaning, security and engineers to ensure seamless execution of event s.
    • Above all, Event Manager must actively embody, inspire and teach Tishman Speyer core values to all colleagues.
    Essential Functions

    Event Services
    • Act as main point of contact for client and vendors after event is booked
    • Facilitate walkthroughs for clients, vendors, security teams, or production companies ensuring all are aware of and respectful of venue's rules and restrictions
    • Collect event details and paperwork to meet event deadlines (venue balances, COIs, load in forms, permits, staff lists, etc.)
    • Spearhead planning with on-site catering partner and client
    • Create Banquet Event Orders (BEO) and host weekly BEO meetings to communicate event details to all building teams: property management, sales team, cleaning, security, engineering, electricians, etc.
    • Build and manage relationships with vendors and ensure insurance requirements are up-to-date
    • Ensure that event areas are clean and presentable to clients
    On-site Coordination
    • Execute special events booked and act as primary contact for all on-site clients, vendors, caterers and building personnel
    • Assure guest service meets or exceeds our standards during all events
    • Oversee event load-in
    • Meet and greet clients
    • Anticipate and address guests' service needs as they arise and resolve all matters where expectations are not met
    • Ensure catering set-up achieves execution standards and service timeline followed
    • Coordinate event staff such as hospitality team, catering, security, cleaning, electricians and engineers
    • Communicate with appropriate departments and vendors during load in, event and load out
    • Work closely with General Manager of the space, coordinating schedules to ensure seamless experience for all guestsboth visiting the amenities and attending a private event
    • Prepare event space, lobby, and elevators for guest arrival and oversee ingress and egress of event guests
    • Maintain constant communication with client throughout the event to ensure expectations are exceeded
    • Troubleshoot problems that may arise during the event in regards to the venue
    • Prepare for and oversee event load out
    • Record and bill additional expenses following event
    • Send event recap following event
    Sales & Administrative Support
    • Assist the event sales team in conducting tours for prospective clients
    • Contribute to new business development and ideation
    • Answering phones, distributing and responding to event leads
    • Creating invoices and contracts
    • Applying for necessary event permits
    • Managing Spiral event schedule
    • Collection and Recording of Payments and Contracts
    • Tracking event invoices
    • Distributing thank you notes to clients post event
    Leadership
    • Strong leadership abilities, sound judgment and knowledge of Sales, Catering & Event Service operations.

    About you:

    Qualifications:
    • College graduate with four-year degree
    • 6-8 years of experience in event management, hospitality, sales, or operations
    • Event management, sales, and business operations experience required
    • Financial literacy and experience managing a team preferred
    • Due to the nature of the role this position requires onsite presence

    The base compensation range for this role is $80,000 to $90,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees.

    This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer's New York team, as we've considered factors specific to this geography.
