    Temporary Finance Associate

    Location: New York, NY

    New York Common Pantry (NYCP) is one of the city's largest food pantries, providing food assistance, case management services, senior food provision, nutrition education, and hygiene services. We are a dynamic, mission-driven organization, experiencing rapid growth and expansion at this time.

    NYCP is a poverty-fighting organization that reduces hunger and promotes dignity, health, and self-sufficiency by using a holistic approach to reach over 104,000 distinct people--over 660,000 visitors each year. Last year, we served almost 10.2 million meals. Through an array of programs that we offer, we look to establish long-term stability for those we serve.

    The Temporary Finance Associate position encompasses a broad range of responsibilities, primarily divided into Accounts Payable and Payroll functions, along with general accounting tasks. The Temporary Finance Associate will be based at our East Harlem Choice Pantry location, reporting to the Director of Accounting.

    This is a temporary full-time, non exempt position, 35 hours per week, Monday through Friday, 9 AM- 5 PM. The duration of the position is from two (2) to six (6) months with a requirement to work in the office four days a week.

    Responsibilities:

    • Accounts Payable:
      • Process Accounts Payable and Cash Disbursements, including ensuring that all payment requests are adequately coded.
      • Conduct credit card reconciliation.
      • Review and follow up on uncashed issued checks over 90 days.
      • Assist in vouchering for government grants/contracts with relevant accounts payable data if necessary.
      • Analyze and optimize accounts payable workflow processes.
      • Establish and nurture relationships with new and existing vendors.
      • Ensure timely and accurate bill payments in line with departmental procedures.
      • Undertake general office duties such as filing, mailing, scanning, and copying documents.
      • Prepare and manage Petty Cash replenishment.
      • Update vendor information in the Fund EZ system as necessary.
      • Support financial audits by providing required accounts payable information.
      • Support the annual budget processes.
      • Prepare the year-end 1099 forms.
    • Payroll:
      • Prepare and process NYCP's bi-weekly payroll, including handling merit increases, bonuses, deductions, and imputed income.
      • Generate and upload bi-weekly, monthly, and quarterly payroll reports into the accounting system.
      • Conduct necessary payroll reconciliation and maintain accurate records.
      • Update payroll and time and attendance-related changes and payroll allocations within the payroll system.
      • Monitor timesheet logs and address any irregularities with supervisors and employees.
      • Reconcile payroll figures and record them in the accounting system.
      • Resolve any payroll-related inquiries or discrepancies in collaboration with employees and supervisors.
      • Ensure accurate coding of employee cost centers.
      • Support internal and external audits by providing requested payroll data.
      • Facilitate smooth information transfer between HR and Finance departments regarding employee data.
    • Other responsibilities as assigned.

    Qualifications:

    • A minimum of three (3) years of relevant experience.
    • Bachelor's degree in finance or accounting is preferred.
    • Commitment to helping the communities in need and NYCP's work and mission.
    • Proficient with Microsoft Suite Office and Fund EZ.
    • Great attention to detail and organizational skills.
    • Ability to work independently and in a team environment.
