    As a Receptionist/Compliance Administrator, you will play a crucial role as the frontline representative for our clients and visitors, ensuring a positive and professional interaction experience. You will also assist our team in maintaining compliance and managing risk-related activities. This entry-level position is perfect for someone who is detail-oriented, proactive, and keen on expanding their knowledge.

    Duties and Responsibilities:

    • Greet and welcome visitors warmly and professionally.
    • Handle incoming calls, take messages, and provide comprehensive information to callers.
    • Support in various administrative tasks such as filing, handling mail, and organizing deliveries.
    • Keep internal paperwork readily available for all staff members.
    • Aid in payroll tasks including data entry, timesheet collection, and file scanning.
    • Prepare and send subcontract documents using DocuSign.
    • Coordinate and gather internal compliance data across different departments.
    • Maintain and update weekly data metrics promptly.
    • Collect and manage Certificates of Insurance (COIs) from subcontractors and ensure compliance with company standards.
    • Handle insurance documents and liaise with clients and subcontractors as necessary.
    • Facilitate vendor onboarding in collaboration with internal and external parties.
    • Perform other assigned duties as needed.

    Qualifications:

    • High school diploma or equivalent (GED) is a must.
    • Associate's degree or pursuing higher education is preferred.
    • Prior experience in receptionist, secretarial, or clerical roles for at least one year.
    • Must exhibit a friendly, courteous, and professional demeanor.
    • Proficiency in Word, Excel, Outlook, and PowerPoint is required.
    • Exceptional grammar and spelling skills are essential.
    • Strong time management, follow-through, and attention to detail are vital.
    • Ability to collaborate effectively in a team-oriented environment.
