    Sr. Grant Administrator - Remote Eligible Description

    The Neurological Clinical Research Institute (NCRI), at the Massachusetts General Hospital (MGH) is a premier Academic Clinical Research Organization (CRO) managing and conducting clinical trials in neurological disorders. The NCRI employs physician clinical researchers, research nurses, clinical research coordinators, grants managers, project managers, data managers, SAS programmers, systems analysts, and administrative assistants dedicated to planning and implementing clinical trials.

    The Senior Grant Administrator (GA) will be responsible for the pre and post-award management of a portfolio of clinical research grants. The Sr. GA will work closely with NCRI Principal Investigators, clinical research assistants, and functional groups to manage all financial and administrative aspects of clinical research grants, including developing budgets and grant submissions; budget forecasting; ongoing monitoring of funds and allocation of expenses; resolution of accounting problems/errors; and functioning as liaison with federal and non-federal grantor agencies, vendors, and subcontracting institutions. The Senior GA will be the central point of contact in maintaining timely coordination and communication with involved parties regarding grants and project management issues for multicenter clinical trials and clinical trial sites and will serve as the primary liaison between internal and external groups in the administration and oversight of contracts and funds.

    The incumbent will report directly to the Sr. Administrative Manager of Research. The candidate is required to maintain collaborative working relationships with the NCRI Functional Directors, Project Managers, Data and Systems Analysts, Clinical Coordinators, Investigators, Research Fellows, Research Nurses, and all other related research personnel within the group.

    PRINCIPAL DUTIES AND RESPONSIBILITIES

    I. RESEARCH ADMINISTRATION

    Manages all financial and administrative aspects of an $8-10M research portfolio, including management of complex grant mechanisms and multicenter clinical trials

    Manages all phases of research grant and contract administration (for NIH, industrial, foundation grants, sundry funds, clinical trials, etc.).

    -Coordinates and manages grant submissions and approvals, including the development of grant budgets and supporting the preparation and development of supplementary materials (budget justifications and quality/compliance reviews for bio sketches and sub-award documentation)

    Proactively interprets and articulates institutional and sponsor research regulations to ensure compliance.

    Acts as a central point of contact and liaison on the timely startup and execution of subcontracts and vendors based on study startup timeline and milestone objectives

    Responsible for the closeout of all projects in conjunction with Research Finance.

    Advise regarding the allowability of costs to be charged to fund to avoid future cost disallowances. Review the appropriateness of transactions and budget reallocations against funding source guidelines.

    Work with Research Finance to resolve complex accounting issues.

    Function as resource person in clarification of policies; and work with Principal Investigators to achieve compliance.

    Maintain ongoing forecast of funds available throughout the grant period; optimize budgeting for Principal Investigators by coordinating funding available from all grant sources.

    Reconciles monthly fund statements; coordinates with Research Finance, Payroll, and other departments as needed for resolution of errors or identification of charges; provides Principal Investigators with monthly status reports of research funds; approves all PI reimbursements to research funds; assigns expenditures to funds as necessary; ensures appropriate reporting to funding agencies, organizations, donors, etc.

    Review grants and funds monthly with principal investigators; resolve accounting and reporting issues as necessary; prepare budget-versus-actual status reports for use by Principal Investigators and functional directors, and facilitate implementation of grant awards by obtaining fund numbers, activating salary assignments to grants, and other associated tasks.

    Prepares 'Time and Effort' reports for all sponsored activities to ensure accuracy and consistency to comply with governmental and sponsor guidelines.

    Maintains current working knowledge of federal and private sponsor regulations as well as Institutional guidelines about research management.

    Negotiates subcontracts and assists with industry-contract negotiations.

    Apprises Investigators regarding submission dates and changes in the application, submission, and funding guidelines of the institution and various funding agencies.

    Attends hospital committee meetings including monthly Research Administrators Discussion Group (RADG)

    Develop collaborative working relationships with ancillary services such as Research Management/Finance, Corporate Sponsored Research and Licensing, Accounts Payable, Purchasing, Human Resources, Partners International Office, etc.

    Human Resource Management

    Coordinates with Human Resources and Principal Investigators/Functional Directors in submitting allocation and other HR transactions through PeopleSoft.

    Ensures that performance evaluations and performed promptly and in compliance with Hospital and Departmental policy.

    Other Responsibilities

    Performs/coordinates special projects for Principal Investigators as may arise from time to time.

    Qualifications

    · Bachelor's degree

    · 5 years of relevant grant management experience, preferably in an academic medical center department handling many diverse grants, including clinical trials

    · Knowledge of NIH grant systems

    SKILLS/ABILITIES/COMPETENCIES REQUIRED:

    · Proactive in the management of funds by reporting to the PI and the Director of Contracts and Finance

    · Exceptional analytical and organizational skills and the flexibility to handle multiple tasks and deadline pressures.

    · Ability to make decisions quickly and independently requiring only minimal oversight for day-to-day activities

    · Proficiency in rigorous financial analysis and keen attention to detail.

    · Ability to identify problems and develop solutions

    · Excellent interpersonal/communications skills.

    · Demonstrated proficiency in Microsoft Office, Word, Excel, Access, and Internet applications.

    · Demonstrated ability to be organized and flexible in an environment, which requires continuous monitoring of priorities.

    · Highly goal-oriented, self-motivated, and able to work independently as well as in coordination with various teams.

    · Willingness to take on new challenges and openness to change.

    WORKING CONDITIONS:

    FISCAL RESPONSIBILITY:

    Responsible for the interpretation and articulation of institutional and sponsor policies and procedures to ensure compliance. Responsible for proactively keeping departments apprised of changes in policies and regulations of federal and non-federal grantor agencies.
