    The Arc of Evansville is currently seeking an Administrative Coordinator/Receptionist for our Arc Industries plant.

    Schedule:

    Monday - Friday 7:00 AM - 4:00 PM

    Job Duties:

    • Coordinates distribution of paychecks and payroll deposit slips for individuals supported.
    • Corresponds with vendors such as METS, vending companies, and equipment vendors.
    • Provides clerical assistance for departments as requested.
    • Coordinates METS correspondence and monthly orders.
    • Orders and tracks METS tickets for all related sites and ensures people supported receive METS tickets or METS IDs.
    • Ensures reliable data entry.
    • Operates keyboard to enter information from the Activity Sheets that depict arrival, departure, and hourly or piece-rate data into ACCEL Trax system.
    • Accurately enters alphanumeric data from source documents into computer following the format displayed on screen. Compares data entered with source documents or re-enters data to verify format on screen to detect errors.
    • Enters group home absences to report to the Finance Department.
    • Runs reports to verify data entered then deletes incorrectly entered data and re-enters correct data.
    • Compiles, sorts, and verifies accuracy of data to be entered.
    • Maintains accurate daily sign-in/sign-out sheet.
    • Files activity sheets in date order.
    • Drafts and communicates daily ratios to necessary staff in the absence of the Production Manager.
    • Trains backup on data entry process.
    • Ensures cleanliness and organization of the reception area.
    • Maintains office supplies and schedule of conference room.
    • Coordinates the daily activities of the Front Desk at Arc Industries including multi-line phone system, paging, and monitoring access to the agency.
    • Maintains and operates fax machine and ensures all incoming and outgoing mail is handled appropriately.
    • Greets visitors, determines nature of business, and announces visitors to appropriate personnel.
    • Ensures correct ratios are maintained.
    • Has thorough understanding of Task Codes and definitions.
    • Manages daily sign in sheet and the creation of activity sheets.
    • Prepares reports and paperwork for the daily audit of activities performed by people served. Assists with correction of any mistakes and the tracking of mistakes made by production staff.
    • Maintains certifications to be used in ratios regularly.
    • Verifies production paperwork as needed in coordination with the needs of the production manager.
    • Files policies as needed by the Chief Human Resources Officer for Arc Industries.
    • Maintains SDS log for Arc Industries.
    • Regular attendance is an essential function of this job.

    Minimum Qualifications

    • High School Diploma or High School Equivalent required.
    • Working knowledge of time and attendance systems preferred.
    • One to three years related experience and/or training.
    • Must have experience with multi-line telephone system with paging and voicemail components.
    • Must have experience with operating routine office equipment (e.g., calculators, copy machine, scanner, radio, fax machines, and postage machines).
    • Completes training as required by agency and funding sources.
    • Maintains certifications for First Aid and CPR.
    • Maintains certifications for crisis intervention MANDT training.
