    Founded in 1978, with roots dating back to 1957, Tencarva Machinery Company is a premier equipment distributor, engineering and design partner, machine guard manufacturer, and full-service repair center. Serving hundreds of customers across the industrial and municipal segments, Tencarva's various divisions cover 16 states and provide end-to-end, tailored solutions for complex systems within the fluid/solids/air/gas handling and water/wastewater treatment sectors. Our service offerings include system analysis and design, application engineering, custom pump assembly, fabrication and machining, automation and controls, and equipment service, repair, and remanufacturing.

    Summary: Provide support to the Municipal Engineered Project Sales Team. Coordinate all aspects of jobs, from the advertisement of the bid through the end of the warranty period of the project.

    Essential Duties and Responsibilities include the following:

    • Work closely with sales engineers and all vendors to develop a scope of supply and pricing based on bid documents (specifications and plans). In some cases, this may require the ability to interpret the technical requirements of specifications and complete material takeoffs for our vendors' use. Review vendor scopes for accuracy.
    • Once purchase order(s) are received, act as the main point of contact on a project for the customer and internal stakeholders, including the sales engineer, all vendor(s), the service department, and the accounting department.
    • Communicate with all vendors regarding pricing, product specs, product availability, and lead times.
    • Prepare submittals internally or review all vendor-provided submittals for consistency with bid documents. Manage the submittal approval process, following up with customers or vendors as needed to ensure the project stays on track.
    • Once approval is received, manage the release of equipment for production and ensure it is consistent with the approved submittal and purchase order. Communicate ship dates with customers, providing updates as needed.
    • Compile operations and maintenance manuals for equipment being supplied to meet the requirements of contract documents.
    • Coordinate with the customer and our service department to confirm that the equipment is ready for start-up. Write field service scopes of work and compile the required datasheets/manuals for our technicians to use in the field.
    • Review start-up reports with the sales engineer and provide the customer with the final documentation package (manuals, reports, etc.) as required by the contract to close out the project.
    • Throughout the project, ensure key project documentation and correspondence are saved and organized for future reference.
    • Maintain a sense of urgency and be proactive in resolving customer or vendor requests or questions.
    • Understand how to prioritize tasks since Project Managers are responsible for multiple projects all at various stages of completion.
    • Other duties as assigned by management.

    Requirements:

    Supervisory Responsibilities: This job has no supervisory responsibilities.

    Education and/or Experience: Bachelor's Degree from a 4-year college or university; or 3-5 years related work experience and/or training; or equivalent combination of education and experience.

    Language/Communication Skills: Must have the ability to read, analyze, and interpret documents, including construction bid plans and specifications, vendor quotes, vendor price books, vendor specification sheets, operation and maintenance instructions, and procedure manuals. The ability to write routine proposals, reports, and correspondence. The ability to technically present information and respond to questions from the sales engineers, vendors, customers, managers, service team, or other employees. The ability to communicate proficiently in both verbal and written forms.

    Mathematical Skills: Students must be able to perform basic mathematical equations, including addition, subtraction, multiplication, division, the use of whole numbers, percentages, and decimals. Also, understand basic concepts of rotating equipment and general fluid physics.

    Computer Skills: To perform this job successfully, the individual should have basic computer skills including knowledge of MS 365 Software (i.e., Word, Excel, Outlook, Teams, Sharepoint) and Adobe Acrobat. Must have the ability to learn Tencarva ERP software and how to navigate vendor configurators and websites.
