    I) Job Purpose

    The primary responsibilities of the Medical Records Technician are monitoring and reviewing ECI program referrals and clinical data to identify and extract medical diagnosis and pertinent information. In addition, this position will key and/or upload medical orders and diagnosis into electronic health record and state database. Business functions include data entry, auditing client files, filing, typing, and general staff support. This position will adhere to State and Federal funding guidelines to ensure that revenue is maximized.

    II) Essential Functions
    • Serve as the primary staff for collection and entry of client medical diagnosis and therapy orders for referral.
    • Responsible for creating timely and accurate process for identifying any missing orders for clients being served
    • Enters information into the electronic health record and state TKIDS database
    • Ensure that files are available only to authorized personnel
    • File, scan, or enter data/documents accurately, within required timeframes. If not within timeframes maintains documentation of notification to staff and supervisor
    • Review client medical files for completeness, accuracy and notifies staff and supervisor of audit findings
    • Reviews referrals extracting assigned diagnosis and/or medical therapy orders for treatment
    • Scanning, printing, filing
    • Maintaining spreadsheets as requested for medical orders and diagnosis
    • Communication with ECI staff and outside entities

    • Perform other job duties or responsibilities as requested or assigned.
    III) Knowledge of Laws, Regulations, Policies/Procedures, Skills, and Abilities
    • MHMRTC Operating Procedures
    • HHS/ECI Rules and Regulations
    • Extensive knowledge and Understanding of medical terminology and ICD10 codes
    • Knowledge of ECI Services
    • Knowledge of State and Federal guidelines
    • Ability to independently plan and organize work; have strong time management and organization skills
    • Ability to work with minimal supervision
    • Ability to interact with others in a professional manner
    • Proficient in use of personal computers and software (e.g. Microsoft, Outlook, etc. ...)
    • Knowledge of office practices, business English, and have strong grammar skills
    IV) Internal & External Customer Service
    1. Ability to communicate effectively both orally and in writing. Ability to keep written documentation of work with the child and family in an accurate and timely manner. Above average record keeping, time management, and organizational skills
    2. Ability to problem solve with paraprofessionals and professionals to meet staff's needs.
    V) Travel

    This position requires driving to and from locations for work and/and may require overnight traveling. Employees are required to have a license in good standing and be able to be covered by agency liability insurance. If personal vehicle is utilized for work travel, then maintaining personal auto insurance coverage is required.

    Pre-employment tests including drug and TB Screening, Physical Exam including balance and lift test.

    All staff are required to participate in agency Emergency Preparedness and Environmental Safety programs and may be assigned by their departments as a key/essential staff level function during critical events or for the purpose of sustaining business continuity.

    This position may require temporary or permanent re-assignment to any MHMR Tarrant facility as determined by program needs and /or the Division/Director.

    Assigned work hours may change as the needs of the agency change.

    The functional Title of this position may change as the needs of the agency change.

    All work will be complete within the scheduled work hours. All non-exempt (hourly) employee are expected to clock In and out for each work shift, no work done should be done off the clock.

    Prior approval from supervisor is required for all Paid Time Off (PTO) and Overtime.

    MHMR reserves the tight to change, and to or eliminate a position as it deems appropriate.

    Employment is at will, as well as agency needs may change.

    Agency dress code is to be followed at all times.

    Physical on-site presence, including regular attendance and punctuality is an essential function of this position. Any change or adjustments to your assigned work schedule or shift hours must be approved by your supervisor in advance.
