    We are seeking an Administrative Assistant to provide administrative support to the Property Manager.

    Essential Duties & Responsibilities:

    • Strong organizational skills that reflect the ability to perform and prioritize.
    • Excellent attention to detail and the ability to handle multiple tasks seamlessly.
    • Expert level written and verbal communication skills – Bilingual in Spanish preferred, but not required.
    • Excellent telephone etiquette and a high level of recall skills.
    • Proactive approaches to problem-solving and strong decision-making capability.
    • Ability to handle confidential information with discretion and to be adaptable to various competing demands.
    • Demonstrates ability to achieve high performance goals and meet deadlines in a fast-paced environment.
    • Forward looking thinker, who actively seeks opportunities and proposes solutions.
    • A reliable personal vehicle is required for errands or tasks that would take the Administrative Assistant out of the office.
    • Able to adapt to last minute changes, scheduling travel, prioritizing, and managing multiple projects simultaneously and being able to follow through on issues in a timely manner.

    The position requires, but is not limited to:

    • Filing paperwork
    • Checking rent boxes and photocopying rent checks
    • Answering phones, checking voicemails, and relaying messages to corresponding person
    • Date stamping and distributing incoming mail
    • Handling outgoing mail by taking to post office, if necessary
    • Generating detailed work orders
    • Ordering and maintaining office supplies
    • Generating notes as tasks
    • Following up on outstanding tasks
    • Managing the Property Managers daily schedule & anticipating the needs of the Property Manager
    • Proficient knowledge of Microsoft Office (Excel, Word & Publisher) as well as Adobe Acrobat (scanning & merging files) is preferred.
    • Follow established company policies and those outlined in the Employee Handbook.
    • Willing to help in other departments as needed.
