Description

The IT Asset Management Administrator plays a critical role in our Information Services & Technology Team. You will be responsible for the entire IT asset lifecycle, from procurement and deployment to utilization and secure disposal. Additionally, you will leverage your expertise to ensure compliance with internal and external regulations, and manage vendor contracts, while also driving cost-effectiveness and strategic optimization of IT assets.

KeyResponsibilities:

Maintaina Comprehensive andAccurateITAssetInventory:

• Createand maintain a detailed recordof all ITassets,including hardware(desktops,laptops,servers,etc.),software(operatingsystems,applications, etc.),andperipherals(monitors,printers,keyboards,etc.).
• EnsurepropertrackingofITassetinventorylevelsthroughcomplianceauditsandphysical inventories.
• WorkwithtoolslikeServiceNowtoensurethathardwarerecordsareaccurateand current.

PerformingRegularAssetAudits andDataReconciliations:

• Log,track,andreallocateassetsintheITAMsystemthroughallstagesoftheassetlifecycle.
• Planandconductaudits,investigatingdiscrepancies andupdatingassetrecordsto ensuredata integrity.
• Reconciledatafromdierentsources(e.g.,purchasingrecords,nancesystems),identifyand resolveinconsistencies.

ManagingITAssetLifecycleProcesses:

• OverseetheentirelifecycleofanITasset,fromacquisitionto disposal,forsuch activitiesas:
• Acquisition:Assistingwiththeprocurementprocessbyproviding accurateassetdata and recommendations.Thisincludesreviewingvendorcontractstoensuretermsregarding softwarelicenses,warranties,andmaintenanceagreementsarealignedwiththe organization'sneeds.
• Tracking:Maintainingarecordofassetmovementandusagethroughoutitslifespan.
• Maintenance:Coordinatingmaintenanceactivitiessuchassoftwareupdates,hardware repairs,andlicenserenewals,aspopulatedinvendorcontracts.
• Disposal:CoordinatethedisposalofexcessIThardwareacquiredthroughM&Aprocessesor assetsnolongerholdingorganizationalvalue.

ImplementingandMaintainingITAssetManagementSoftware:

• Responsibleforlearningandusingan ITassetmanagementsoftwaresystemto manageallaspectsof theITassetlifecycletomanagetaskslike:
• Conguringthesystemtomeettheorganization'sneeds,includingintegratingwithvendor contractmanagementsystems.
• Addingandupdatingassetdataintothesystem,includinginformationextractedfrom vendorcontracts(e.g.,licensequantities,supportentitlements).
• GeneratingreportsonvariousaspectsofITassets,includingvendorcontractcompliance reports.
• Maintainingthesystem'sfunctionalityanduseraccess.

TrackingandManagingSoftwareLicenses:

• Trackandmaintaincopiesofsoftwarelicenseentitlements,warrantees,hardware,andsoftware maintenanceagreementsfor licensecompliance.
• Assistwithsoftwarelicensedeploymentandentitlementbestpractices,processes,andprocedures.
• Help with creationandcoordinationofsoftware inventoryreportingforcompliance,andutilization,suchas:
• Tracksoftwarelicensesbytype,quantity,andassignedusers/departments,referencing vendor contractsfor details.
• Monitor licenseexpirationdatesandbudgetforrenewalsbasedoncontractterms.
• Identifyandaddressing software licensecomplianceissuesarisingfromvendorcontract discrepancies.
• Managesoftwarelicenseagreements,includingnegotiatingrenewalsoramendmentstoexisting contracts.

VendorContractManagement:

• Reviewand analyzevendorcontractsforITassets(hardware, software,andservices)toensure alignmentwith ITassetmanagementpoliciesand procedures.
• Extractrelevantdatafromvendorcontracts(e.g.,licensetypes,quantities,supportterms)topopulatetheITassetmanagementsystem.
• Trackcontractexpirationdatesandrenewaltimelines,proactivelyinitiatingtherenewalprocessbasedoncontractterms.
• Flagpotentialcontractviolationsordiscrepanciesidentifiedduringauditsordatareconciliation.
• Managecontractamendmentsorterminations.

Reporting:

• Generatereportson variousITasset data points,including thoserelated tovendor contracts,like:
• ITassetutilizationrates(hardwareandsoftware).
• Softwarelicensecompliancestatuswithvendorcontracts.
• Upcominghardware/softwarerenewalsbasedoncontractterms.
• Assetvaluedepreciationconsideringresidualleaseobligationsfromvendorcontracts.
• Vendor contractperformancereports.
• Assistinmakinginformeddecisionsregardingassetprocurement,budgetallocation,resourceoptimization,andvendorcontractnegotiations.

Additional Responsibilities:

• AssistwithdevelopingandimplementingITassetmanagementpoliciesandproceduresto ensurebestpracticesarefollowed, includingvendorcontractmanagementprotocols.
• SupporttheITAnalystsbyprovidingaccurateassetdataand recommendationstooptimize purchasing decisions,considering vendor contractterms.
• ParticipateinITassetauditsandcollaboratingwithinternalteams.

Qualifications:

• 3-5yearsofexperienceinITassetmanagement,inventorymanagement,projectcoordination,ora similareld.
• Provenexperiencemanaging IThardware,softwarelicensing,andassetlifecycles.
• Strong understandingof ITassetmanagementbestpracticesandrelevantindustryregulations.
• ExperiencewithITAssetManagementsoftware(e.g.,ServiceNow,SCCM/MECM,Intune)isaplus.
• Excellentcommunicationandinterpersonalskills.
• Abilityto managemultipletasks,prioritizedeadlines,andthriveinafast-pacedenvironment.
• Stronganalyticalandproblem-solvingskills.
• Meticulous attentionto detailandacommitmenttodataaccuracy.
