    Salary Range: 49,792-$62,240

    Work Mode: This position requires some regular in-person presence on campus or at alternative locations, depending on business needs of the office.

    Hours Per Week: 40

    Position Type: Full-Time Staff, Non-Exempt

    Position Summary

    The HR Coordinator is responsible for ensuring the efficient day-to-day operations of the administrative function of the Office of Human Resources. The HR Coordinator is responsible for providing direct administrative support to the Executive Director of Human Resources, Director of Employee Engagement, Employee Relations, and Benefits. This position also serves as Time Clock Plus administrator.

The college will annually review this restriction and, if appropriate, expand the list of states of employment eligibility.

    Job Duties and Responsibilities

    Ensure the efficient day-to-day workflow of the administrative function of the Office of Human Resources. Greet visitors/callers and direct them appropriately.

    Serve as administrative support to the Executive Director and Director of Employee Engagement with maintaining calendars, planning and scheduling meetings teleconferences, reserving meeting locations, and coordinating catering, as required. Create/draft and proof letters and documents, reports, agendas, correspondence, PowerPoint presentations, binders for special projects, etc. Ensure time-sensitive information is prepared/delivered on time. Create and distribute the weekly HR Newsletter.

    Manage the HR budget and budget accounts; produce monthly expense reports; create purchase orders and requisitions; research budget discrepancies; generate budget transfers. Process and reconcile monthly procurement card expenditures for the Executive Director and HR Coordinator. Receive goods in Unimarket and submit invoices for payment.

    Serve as the TCP college liaison/administrator and oversee TCP function. Create/assign proper leave codes, add/edit/modify leave entries, correct negative leave balances, and any discrepancies, provide instructions to employees/supervisors with web clock essentials and how-to guides, ensure assignment of proper supervisors not viewable, assist with questions for error messages, assist with creating/assigning user roles, assists with issues around leave not importing from Colleague to TCP, provide guidance/training to employees when they do not understand TCP and how to view/understand dashboard. Record all college-approved FMLA continuous/intermittent and STD cases. Review bi-monthly for time entry and submit in appropriate timekeeping platform, Colleague, or TCP. Track leave entries in the designated time recording log. Run reports for accrual usage for managers/supervisors as requested. Run monthly audit reports to capture employees not found in TCP or employees missing leave allotments.

    Prepare last day and COBRA letters. Calculate leave balances of outgoing employees and inform payroll. Notify college personnel of resignations and terminations.

    Review daily automated obsolete supervisor reports and request/update Colleague supervisory changes appropriately.
    Process all incoming departmental supervisor changes.

    Maintain the college Manager/Supervisor distribution list and conduct quarterly audits to ensure accuracy.
    Schedule and support bi-monthly supervisor forums. Assist with the facilitation of PowerPoint slides.

    Create/edit the HR weekly newsletter and any other related publications.

    Maintain appropriate files (paper and/or electronic) for correspondence, reports, personnel records, confidential files, and other human resource documents related to the area of responsibility. Ensure that record-keeping procedures are in compliance with applicable state and federal legislation. Process and prepare documentation for all subpoena requests.

    Complete employee tuition waivers, public service loan forgiveness for regular staff, verbal employment verifications, and I9s as requested.

    Maintain office printers and copier and order office supplies.
    Submit office work requests as needed.
    Process incoming/outgoing mail.
    Process departmental requests for HR-related information.

    Maintain/update all HR electronic forms and ensure they meet the college's standards.
    Submit requests to Strategic Communications to update HR Internet web pages as needed. Maintain the HR Intranet site.
    Collaborate with the office of the VP of Learning Resource Management to coordinate information for the college telephone directory.

    Send various cards to employees at the request of the Executive Director.

    Support bi-monthly check-in and chat and facilitate in the absence of the Executive Director/HR Director.

    Cross-train and fill in for the other HR Coordinator in their absence, including responding to email inquires, completing forms, and implementing background investigations in AccuSource, Castle Branch, and Colleague.

    Required Qualifications:

    High School Diploma or GED and 5 years of related experience.

    Advanced computer and graphic skills with a high level of proficiency in all Microsoft Office suite applications: Word, Excel, Outlook, and PowerPoint. Advanced Adobe skills.

    High level of proficiency with administrative database software systems and familiarity with HR tracking systems and applicant tracking systems.

    Excellent oral, written, and interpersonal communication skills, including grammar, spelling, punctuation, editing, and proofreading skills required.

    Ability to handle multiple tasks efficiently and effectively work independently and in a team-oriented, collaborative environment.

    Ability to handle sensitive & confidential materials/matters with discretion & tact.

    Preferred Qualifications:

    Experience in Human Resources administration function.

    Time and attendance systems experience preferred.

    Video conferencing (Zoom, Microsoft Teams) experience and management.
