    Matthew Miller & Associates is a Mobile based I.T. service and consulting company. We are seeking a detail oriented and self-motivated Front Office Administrative Assistant to join our team You will work directly with the company owner and perform clerical and administrative functions in order to drive company success. This is an in-person position located at our office on Lakeside Drive in Mobile, AL.

    Schedule/Hours:

    Flexible working hours and willing to allow the right candidate to create their own schedule. No weekends. The preferred working schedule would be Monday thru Thursday 9:00 AM to 3:30 PM and Friday 9:00 AM to 1:00 PM -- approximately 25 to 30 hours per week.

    Responsibilities:

    • Create and process customer invoices in QuickBooks
    • Manage vendor invoices and accounts payable
    • Email/mail monthly customer statements
    • Monitor email for important customer/billing information or scheduling changes
    • Receive and log incoming shipments of equipment from UPS/FedEx
    • Run basic office errands (bank deposit, check P.O. Box, pickup office supplies)
    • Scan and electronically file correspondents and bills
    • Draft correspondences and other formal documents
    • Plan and schedule appointments and events
    • Greet and assist onsite guests
    • Answer inbound telephone calls
    • Develop and implement organized filing systems
    • Perform all other office tasks as required

    Qualifications:

    • Previous experience in office administration or other related fields
    • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
    • Ability to prioritize and multitask
    • Excellent written and verbal communication skills
    • Strong attention to detail
    • ​Strong organizational skills
    • Prior bookkeeping or accounting skills preferred
