Description
Glumac, a Tetra Tech Company, is seeking an Office Manager/Project Administrator with 3-5 years of experience in the Architectural, Engineering, and Construction (AEC) industry for a hybrid role in the Seattle area.
The Office Manager will be the primary contact point for internal and external parties and should excel in administrative tasks, particularly in employee support.
The ideal candidate is highly organized, process-oriented, and skilled at multitasking. They must work independently and collaboratively, cooperating with various teams and prioritizing multiple tasks. Proficiency in Microsoft Office and industry-specific construction administration software is required.Additionally, they will assist remote and hybrid employees, support onboarding/offboarding, and help technical engineers with project-related tasks like data entry and document reviews.
Additional Qualifications:
3-5 years of administrative work experience with a focus on project support.
Exceptional attention to detail.
Self-starter and highly driven.
Excellent communication and interpersonal skills.
Strong problem-solving skills and analytical abilities.
An associate degree in business administration, communications, or a related field is a plus.
Duties and Responsibilities:
Answering calls and emails, directing them to relevant staff, and greeting visitors when in-office.
Serving as the Glumac point of contact for Construction Administration items, including logging, distribution, and creating review memos.
Providing formatting and editing for project specifications.
Performing graphical quality control of engineering design drawings at project milestones.
Formatting and editing using Glumac templates for various documents.
Proofreading and conducting quality control and reviews of documents for standards and branding.
Supporting in-office meetings or events, including planning and catering.
Managing facilities-related needs and inquiries, such as space improvements, access, and relocations.
Facilitating training and onboarding of new employees, including equipment procurement and introductions.
Supporting office culture and internal community building through partnership with Community leads.
Maintaining and updating the inventory of office assets and reporting changes as needed.
Monitoring office supplies, ordering necessary items, and ensuring workstation functionality.
Receiving, sorting, and managing incoming and outgoing mail and deliveries.
Depositing received checks immediately.
Identifying opportunities for process and office management improvements and implementing new systems.
Providing administrative support to regional employees, including scheduling group meetings and maintaining calendars.
