JOB TITLE:
Administrative Assistant/EVS
POSITION SUMMARY:
The Administrative Assistant is responsible for the administrative support functions related to the duties of
the Environmental Services Director. This position is also responsible for providing assistance to other environmental services
management in a collaborative effort and is responsible for special assignments and projects as needed. The Administrative Assistant
position supports an organizational culture for Service Excellence and practices the Service Excellence standards to all customer
groups.
Job Duties/Responsibilities:
A. Provides administrative support functions for the Director of Environmental Services, to include
maintenance of schedules and travel arrangements, with minimal supervision.
B. Performs special projects and assignments as necessary to provide an integrated approach to these duties
within the administrative and departmental services and according to policy, procedure, regulations, and
expectations.
C. Assists with data compilation for special projects and assignments. Creates graphs and PowerPoint
presentations as requested by the Director for various projects.
D. Provides support for all regular and special meetings of the Environmental Services Department, to include
scheduling, agendas, minutes and follow-up.
E. Maintains on-going tracking system for the Environmental Services Cost Center. Reviews cost center and
requests corrections where needed.
F. Maintains live folders for Environmental Services Process and Structure Standards.
G. Publishes bi-annual Environmental Services newsletter.
H. Plans, coordinates and follows-up on all Environmental Services Week activities.
I. Participates in the overall cost-containment initiative through resource management and supply demands.
J. Assists the administrators and their departments with clerical functions related to budgeting and monitoring
of budgetary parameters. Initiates procedures for payment of various monthly administrative invoices.
K. Maintains a filing system in an orderly fashion for efficient retrieval of information.
L. Answers telephone and assists callers for Director of Environmental Services. Provides overlapping support
for all administrative areas. Greets visitors to the department and directs/escorts them to appropriate area.
Acts as a liaison between customers and the personnel in the department.
