Job Summary:


We seek a Facilities Associate Director who is highly organized and a self-starter to join our Facilities team at UW-Madison, School of Medicine and Public Health (SMPH).

The SMPH Department of Physical Facilities is a full-spectrum service organization that builds, maintains, and operates the physical environment of the SMPH campus in support of the university's education, research, clinical research, and outreach activities.

SMPH Facilities works behind the scenes to coordinate campus planning, manage design and construction, maintain, and operate buildings and grounds, supply utility services, ensure health and safety, and provide parking and transportation services.

The School of Medicine and Public Health Facilities Group supports and maintains SMPH facilities.

This position is directly responsible for operational oversight of programs for various buildings, complex maintenance and repair, construction, and infrastructure initiatives by effectively utilizing resources within all facilities, including spaces leased by SMPH.

It collaborates with UW-Madison, UW Systems, and UW Health to provide engineering support and identify and plan short
- and long-term operations and capital projects. The Facilities Associate Director will lead construction and infrastructure implementation under the direction of the SMPH Facilities Director.

The incumbent will contribute to the coordinated planning environment within SMPH Facilities.

The main priorities will be direct supervision in managing SMPH building maintenance programs and collaborating with units to administer all operational and capital construction plans aligning with UW-Madison and SMPH strategic priorities and the overall campus facilities framework.


The Facilities Associate Director will work with the SMPH design team and facilities building management operations team to propose solutions, and coordinate space preparation, construction, and relocation details as needed.

This position will engage in operational and capital project requests from start to finish.

This position is the liaison with UW-Madison Facilities Planning and Management (FP&M), UW Health, and leased site staff and contract services.

It will represent the SMPH in a respectful, timely, and professional manner.


Responsibilities:

Directs the security, custodial, grounds, recycling, repairs, maintenance, and utility services of facilities to ensure they meet the needs of the university and its employees.


  • 10% Develops priorities and implementation strategies for creating custodial and maintenance standards, schedules, and labor requirements for routine and emergency repairs, housekeeping, preventative maintenance programs, grounds work, warehouse functions, renovations, and capital improvement projects
  • 10% Directs the planning and scheduling of building maintenance and remodeling activities, incorporating operational requirements and priorities
  • 20% Develops and fosters a working relationship with university and state professional architects and engineers, project managers, building construction superintendents, and outside contractors while representing staff and residents
  • 10% Provides operational and strategic guidance to staff
  • 10% Determines and directs standards for routine and preventative work orders, warehouse/purchasing tracking, building and grounds projects, and use of automated maintenance
  • 10% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 fulltime equivalent (FTE) employees
  • 10% Reviews work place health and safety expectations with employees and provides instruction as needed
  • 5% Assists in safety, security, and associated training and communication, including continuation of operations planning School wide
  • 5% Serves as the unit liaison to internal and external stakeholder groups, providing organizational information to ensure timely and safe transitioning of maintenance work orders, construction or remodeling projects
  • 5% Manages all loading dock and mail operations, research freezer facilities, a freezer alarm system, 24 hour oncall tracking, text alert, and a work order management system
  • 5% Serves as a resource for and works closely with the Facility Director regarding all SMPH Facilities
