    About the Department


    The Physical Sciences Division has a rich history of advancing and defining new fields of discovery in the physical sciences and mathematics, and this tradition of innovation continues today.

    Our inquiry and impact spans from the edge of the observable universe to humancomputer interaction, from biophysical materials science to the geologic record of seawater composition, from gravitational waves to geometric flows, and beyond.
    The division includes the academic departments of Astronomy & Astrophysics, Chemistry, Computer Science, Geophysical Sciences, Mathematics, Physics, and Statistics.

    In addition, PSD includes a number of interdisciplinary research institutes and centers, including the Enrico Fermi Institute, the James Franck Institute, and the Institute for Biophysical Dynamics.

    This position is focused on grants & contracts administration for the department of Chemistry, with many of Chemistry's faculty also appointed in one or more institutes.

    Many of our scientists have joint appointments at the Fermi National Accelerator Laboratory and Argonne National Laboratory as well as joint affiliations with other Chicagobased research institutions such as the Toyota Technological Institute of Chicago, Adler Planetarium, the Museum of Science and Industry, and the Field Museum.     Job Summary


    The Human Resources Coordinator provides general human resources support to ensure the HR team can provide timely, responsive service in support of the Physical Sciences Division's mission and goals.

    Under supervision, provides routine human resources support to units within the Division.
    Responsibilities
    Under the supervision of the Director, provides support for Departments and Institutes within the PSD by assisting with HRrelated issues, including job descriptions, recruitment, employment, onboarding, and terminations.

    Assists the HR team with data change updates, terminations, and new hire onboarding.

    Supports the timely onboarding of staff including the I9 verification process.


    Supports all aspects of talent acquisition for the PSD including assisting with creating and formatting job descriptions, advertising positions, phone screening applicants, checking references, and maintaining appropriate human resources data and records.

    Runs and distributes various Workday reports for the Division.

    Maintains and updates the PSD Human Resources web pages.

    Assists with communicating Human Resources and Payroll updates to the broader PSD community.

    Assists with troubleshooting routine issues related to hiring, onboarding, payroll, and benefits.

    Proofreads job descriptions and other HR documentation developed by the departments or colleagues.

    Assists with the development of training materials, checklists, and workflows for standard HR processes. Coordinates training sessions.

    Assists with adhoc HR projects.


    Assists with communication and tracking regarding the University's mandatory trainings, communicating with those who have not completed the training and creating reminder presentations for various stakeholders.

    Collaborates with the PSD HR team on information management, process improvement, absence management and visa request activities.

    Provides backup to the HR team in their absence.

    Maintains a high degree of confidentiality.


    Provides business support for the human resources function, acting as an initial point of contact for employees in the unit, onboarding new hires, and serving as an informal resource to other team members.


    Provides a general explanation of benefits to new employees along with a complete benefits package with a limited degree of supervision.

    May assist the unit HR staff in coordination staff or recruitment efforts.

    Performs other related work as needed.

    Minimum Qualifications


    Education:
    Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a fouryear degree).
    Work

    Experience:
    Minimum requirements include knowledge and skills developed through 57 years of work experience in a related job discipline.
    Certifications:Preferred Qualifications


    Experience:
    Experience working in a university environment.


    Technical Skills or Knowledge:
    Strong and broad software knowledge and usage including:

    word processing, database, spreadsheet, email, and web, as well as a strong knowledge of Microsoft O365.

    Preferred Competencies

    Strong customer service skills and ability to interact with and serve a diverse population with tact, courtesy, clarity, and diplomacy.

    Excellent organizational and communication skills.

    Project management experience, including developing timelines and successfully completing projects.

    Pull reports and analyze data in excel.

    Excellent problemsolving skills.

    Handle sensitive and confidential situations and information with absolute discretion.

    Take initiative and organize and complete projects with minimal supervision.

    Attention to detail required.

    Write and edit standard documents such as job descriptions, training materials, or offer letters with minimal oversight.
