- Utilize software and systems to accurately record and track shipyard time and materials expenditures for the MPSV new construction project.
- Maintain detailed records of labor hours, equipment usage, and materials consumption to ensure accurate cost tracking and reporting.
- Prepare regular reports and updates on time and materials expenditures, including budget vs. actual analysis and variance explanations.
- Provide superior record keeping and documentation to promote the retention and organization of program documents.
- Receive, organize, and streamline all project communications to directly support required deliverable submissions for contract compliance.
- Management of the MPSV SharePoint site, to include document review, file management and organization, site access permissions control, etc.
- Schedule and facilitate regular meetings between key stakeholders. This may require the candidate to create meeting agendas, PowerPoint Presentations, and capture/distribute detailed meeting minutes.
- Assist with coordinating and leading shipyard tours for visitors, subcontractors, and customer personnel.
- Uphold TOTE Services and Shipyard safety standards, as well as exemplify these standards when working with subcontractors and visitors onsite.
- Undertake other relevant duties and projects as appropriate to support the MPSV Program.
- Ability to read and comprehend contract documents.
- Ability to communicate clearly and effectively, both written and verbal.
- Excellent organizational skills.
- Experience working on shipbuilding and/or ship repair projects preferred, but not required.
- Familiarity with language of Earned Value preferred, but not required.
- Ability to multitask and occasionally work within critical time constraints.
- Proficiency in Microsoft Office Suite and SharePoint.
- Ability to work independently under limited supervision.
- High school diploma or equivalent required.
- Bookkeeping in a Shipyard: 1 year (preferred)
- Administrative experience: 1 year (preferred)

Job DescriptionTOTE Services is seeking a qualified individual to serve as Time & Materials Bookkeeper / Data Coordinator under TOTE Services' Vessel Completion Agreement (VCA) contract to complete the build, outfit, and deployment of two (2) MPSV (Multi-Purpose Support Vessels). This position will be in Port St. Joe, FL, at Eastern Shipbuilding Group's Port St Joe facility and will report directly to the TOTE Services MPSV Project Manager.
The T&M Bookkeeper / Data Coordinator will assist the TOTE Services T&M Manager in tracking and analyzing manpower consumption by the ESG shipyard and assist team members in achieving compliance with VCA contract deliverables, document management and distribution, and onsite visitor and subcontractor support, as well as support the development and implementation of key communications processes and plans.
Overall, the position will help to ensure timely and proper submission of VCA contract deliverables and alignment of all plans, processes, and data handling in relation to the completion of the MPSV program.
Main Duties and Responsibilities:
The T&M Bookkeeper / Data Coordinator will support the MPSV Team in all aspects of contract administration and communication amongst stakeholders. The primary duties of the T&M Bookkeeper will include:

The T&M Bookkeeper / Data Coordinator may be required to perform additional duties pertaining to the MPSV program or could be asked to support other programs within the TOTE organization as necessary.
