Under the direction of the Chief Investment Officer, the Executive Assistant is responsible for providing high-level administrative and professional support to the Investment Strategies department.

The position enhances office effectiveness, utilizing excellent communication and time management skills and through the execution of a variety of complex administrative duties requiring sensitivity, initiative and independent judgment.

The position acts as a liaison between the Investment Strategies team and other departments.

Essential Duties & Responsibilities

  • Manages flow of information through the Investment Strategies team, maintaining confidentiality at all times. Processes various investment and legal documents including entering into contract review system for legal review and approval workflow; follows up on status of pending matters, monitors the process through to completion, and distributes the completed documents to the appropriate parties (this includes subscription and related docs, wire direction letters, additional subscription/redemption forms, etc.). Ensures that review/signature request materials are properly submitted, reviewing for completion and accuracy. Follows up on completed action items.
  • Prepares and maintains spreadsheets/databases including as relates to department budget. Processes contracts and proposals as appropriate, including entering them into the vendor management system. Facilitates processing of purchase orders and payment of invoices for vendors in coordination with Accounts Payable.
  • Manages executive calendars, scheduling appointments as appropriate, organizing programs, coordinating participation in events and/or conferences, and issuing information and invitations. Makes travel arrangements, reconciles and completes expense reports, as necessary. Works closely and effectively with Investment Strategies executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Works effectively under executive directives, as well as autonomously. Proactively offers solutions and options.
  • Interacts with all levels within the organization, including Executive Assistants to Executive Leadership, Executive Leadership including the CFO, Chief of Staff to the Tribal Council, Deputy Chiefs of Staff for Tribal Leadership, senior executives and department heads, Tribal Citizens, and professional and support staff and others.
  • Coordinates with Information Technology to facilitate processing of Team hardware and software needs, with enterprise procurement on other Team supplies and required materials to support Investment activity and meetings.
  • Prepares meeting packages by printing, copying and collating action items and support materials, as necessary, coordinating in-person presentations and uploading the documents for electronic presentation including use of a board portal.
  • Organizes and maintains department files and other confidential records and databases through document retention systems.

Education/Experience/Qualifications

  • Associate's degree in a related field is required.
  • Bachelor's degree preferred. Degree in a related field is preferred.
  • Minimum five (5) years equivalent experience is required.
  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.
  • Advanced to expert proficiency in the Microsoft suite is required.
  • Must possess good written communication skills and writes in both an informational and persuasive manner.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.
  • Must have a current valid California Driver's License with a clean driving record.
