Plant Clerk to support the Plant Operations department.

Essential Duties:


  • Assists the Plant Operations Director with all administrative functions in the Plant Operations Department.
  • Assists in daily management of the work order system including communication with residents, opening and closing work orders, completing entry of work completed and tracking the time and material expended.
  • Assists in prioritizing work orders including communication with staff, dispatching work by radio and aging work orders by work order date.
  • Assists in tracking and scheduling all apartment renovations including communication with residents on color selection and special requests.
  • Assists with purchasing, inventory, accounts payable, resident billing, shipping and receiving.
  • Assists with the scheduling and tracking of special projects.
  • Completes light duty work orders, some of which will be light maintenance task as assigned.
  • Performs driving duties as assigned.
  • Provide computer/IT services for the residents. Resolve connectivity issues, install new smart devices etc. Utilize internet provider and IT provider to assist in resolving problems.
  • Conduct new resident move in orientation within 7 days of a resident moving in.
  • In the absence of the Concierge, complete concierge duties to assist the residents, their friends and family in any way to improve their experiences inside and outside of North Oaks.
  • Keep up to date with the policies and procedures for front desk. Provide coverage as needed.
  • Develop and maintain an orderly tracking systems to ensure timely maintenance, preventative maintenance and inspections and regulatory compliance.
  • Provide security/valet and screening services as needed.

Other Duties:


  • Assists in creating and maintaining a professional office atmosphere in the Plant Operations Office.
  • Promotes professional communication between the Plant Operations Office, residents and other departments.
  • Maintains all files; update, organize and file department paperwork and documents in a timely fashion.
  • Maintains workstation and equipment in a safe and organized manner.
  • Attends inservice training and education sessions, as assigned.
  • Performs specific work duties and responsibilities as assigned by Plant Director.
  • Observes all safety rules and regulations.
  • HIPAA Compliance follows written policies and procedures to ensure confidentiality of protected health information.
  • OIG Compliance follows written policies and procedures to comply with the federal and state laws and regulations.

Qualifications:


  • High school graduate with ability to communicate effectively in English and perform simple arithmetic.
  • Some office experience required.
  • Proficiency with word processing, spreadsheet and database programs.
  • Some degree of agility is required to walk the grounds and occasionally work from a three foot step ladder.
  • Must possess a valid Maryland drivers license with a good driving record. Also meet the community's qualifications to be an approved driver.
  • Ability to work under pressure, meet deadlines, be exacting in performance and work well without direct supervision.
  • Courteous, friendly and helpful attitude toward the residents and staff.
  • Compliance with Influenza Policy is required for this position for all North Oaks employees. Please refer to the policy for details. All North Oaks employees may access the Policy via their Human Resources representative or Executive Director.

Physical Requirements/Working Conditions
Works in a well lighted area with possible exposure to dust. Approximately seventy-five percent of the workday is spent sitting, standing intermittently, frequent bending, reaching, lifting and stooping. Some physical effort is required. Must be able to occasionally work from a three foot step ladder and walk the grounds. Must be able to lift and carry up to 50 lbs. independently. Requires manual coordination to operate switchboard, computer, and other business equipment. Requires continuous mental and visual attention to diversified operations. Must be able to function efficiently despite distractions and interruptions. Communicates orally and/or in writing with residents, co-workers, families, and the public. Must be able to handle a multiplicity of routine tasks, following specific instructions carefully and general instructions completely.
