    Description

    Reporting to the Chief of Curatorial Affairs and Conservation (CAC), the Senior Manager of Planning and Operations serves as the Division's primary planning, operations, administration and budgeting lead across the Division's six functional departments totaling approximately 170 employees. The Senior Manager is responsible for the smooth day-to-day running of the Division, including centralizing administrative activities, developing and improving workflow processes, ensuring the appropriate and clear flow of information throughout the Division, and supporting the Chief and Department Heads in tracking and managing projects and priorities. In addition, the Senior Manager routinely gathers, analyses, and presents information to support inquiries and inform decision-making.

    The Senior Manager is responsible for the Divisional budget, administrative policies, procedures and day-to-day management. The Senior Manager oversees confidential employee records and controls sensitive and confidential documentation pertaining to the Division and coordinates with the Chair and Department Heads, as appropriate. They are the Division's lead on office space planning and allocation. The Senior Manager assumes project management and research responsibilities as assigned by the Chief.

    Essential Functions:

    • Works with the Chief to create and sustain a supportive work environment for division staff, and a culture of collaboration and accountability across departments.
    • Manages Division's planning activities, including strategic plan implementation and new initiatives. Drafts planning documents and monitors progress-to-plan on behalf of the Chief.
    • Advisor to the Chief in monitoring priorities and projects, the flow of information between departments, decision tracking and acts as a liaison between the Chief's office and the rest of the Museum.
    • Manages Division's budget and coordinates annual department budgets for submission to the Financial department, prepares and monitors Division expenses and revenues, tracking variances. Responsible for analysis of Division operating budgets, grant projects, endowment funds, term positions and discretionary accounts.
    • Manages Division's human resources, including processing necessary paperwork, recruitment, and the administration of Museum human resource policies and procedures in collaboration with Human Resources. Consults with the Chief and Human Resources personnel to resolve staffing and employee related issues as necessary. Oversees attendance, performance management system and payroll.
    • Consults with Chief and Human Resources when labor relations/bargaining unit-related issues arise.
    • Standardizes and manages policies and procedures across the Division. Aligns Curatorial department coordinators' responsibilities and processes with Division policies and activities.
    • Establishes sound working relationships with colleagues and provides a bridge for smooth communications between the Chief's office, and internal departments, developing trust and credibility.
    • Effectively communicates regularly with Department Heads and others across the Division and Museum to ensure timely, accurate and reciprocal transfer of information, resolving issues and contributing to achieving Divisional strategic, tactical and project goals. Represents the Chief in internal meetings and communications as needed.
    • As directed by the Chief, communicates directly with Board members, donors, external stakeholders and others, on matters related to Division management and programmatic initiatives.
    • Researches, prioritizes and follows up on issues and concerns on behalf of the Chief.
    • Leads fact-finding inquiries, analyses data, and presents results as Directed by the Chief.
    • Oversees office space needs for the Division working with others in the Museum resolve issues.
    • Leads with Department Heads, the recruitment of new administrative staff within the Division.
    • Leads in ensuring continuous and appropriate training is provided to Division administrative staff in new systems, databases, policies and procedures.
    • Monitors workflow processes, recommending new approaches, and implementing approved changes, as needed.
    • Works closely with the other Leadership Team's offices, including the Director's Office, to ensure the smooth flow of information and reporting on Museum priorities.
    • Performs other related duties as required or directed.
    Qualifications and Requirements:
    • BA in business or non-profit management, MA desirable
    • 5 to 7 years of experience managing a complex portfolio of operational responsibilities in a museum or medium to large organization
    • Demonstrated project management and analytical skills
    • Demonstrated experience in identifying and balancing priorities
    • Experience working in a fast-paced environment while sustaining high standards. Must have excellent follow-through and ability to meet deadlines
    • Strong quantitative and analytical skills with experience in developing, overseeing and tracking budgets
    • A seasoned and inspirational leader with expertise in hiring, training, coaching and managing performance
    • Must be a clear communicator with exceptional written and verbal skills
    • Excellent relationship management skills with ability to navigate internal and external relationships at all levels
    • Able to handle sensitive and confidential information with care and discretion
    • An interest and affinity for museums and the arts desirable

    Salary Range:

    Full-time Salary, 35 hours per week

    Starting Salary: $95,000 - $102,000
