    Job Summary: Oversee and coordinate the administrative, operational, and personnel functions that support a medical research laboratory program.

    Essential Responsibilities:

    Serve as the primary administrative liaison for the lab, interacting with internal and external stakeholders at all levels.

    Develop, organize, and implement administrative processes and systems to ensure efficient operations.

    Plan and coordinate program events, including publicity, agenda, logistics, travel arrangements, and reimbursements.

    Monitor and manage program budgets, accounts, and expense reporting.

    Assist with grant submissions, progress reports, and expense accounting.

    Oversee IRB protocols for research projects.

    Develop and implement strategic plans, goals, objectives, and action plans for the program.

    Participate in leadership, fundraising, programming, and planning efforts in collaboration with internal and external affiliates.

    Collaborate with the Principal Investigator on programmatic, operational, and office management activities.

    Manage project activities and ensure milestones are met.

    Analyze operational and financial impact of new projects and provide recommendations.

    Support research site and administrative staff to ensure smooth clinical study recruitment operations.

    Develop workflows, processes, and procedures to improve operational efficiency and effectiveness.

    Facilitate meetings, events, and special projects for the program.

    Act as a key point of contact and resource for program staff.

    Prepare and deliver presentations to various audiences.

    Develop reports and other deliverables as assigned.

    Human Resources:

    Manage the hiring process, including posting, advertising, and onboarding new employees.

    Coordinate visa applications and employee orientation.

    Oversee staff records, leave management, and injury claims.

    Provide mentorship and support positive staff morale.

    Fundraising & Communication:

    Participate in fundraising efforts, including social media and collateral materials.

    Maintain effective communication and working relationships with staff and stakeholders.

    Manage program distribution lists and attend relevant meetings.

    Supervisory Responsibility:

    Manage a team of administrative staff, including direct reports and support staff.

    Fiscal Responsibility:

    Provide financial management and budget oversight for program operations.

    Required Qualifications:

    Bachelor's degree in Life Sciences or related field; Master's degree or PhD preferred.

    Minimum of 5 years of directly related experience, including supervisory experience.

    Strong interpersonal, communication, organizational, and time management skills.

    Ability to prioritize tasks, work under time constraints, and meet deadlines.

    Excellent computer skills, including proficiency in Microsoft Office suite and web-based applications.

    Effective analytical, problem-solving, and critical thinking skills.

    Ability to work independently and collaboratively as part of a team.

    Effective leadership skills.

    Previous experience in a hospital-based research environment, with IRB and grant administration.
