- Retrieve and distribute faxes daily, ensuring timely processing and distribution of important documents.
- Scan documents into patient charts once per week, maintaining accurate and organized patient records.
- Review incoming emails for distribution and take appropriate actions as needed.
- Address medical records requests by printing and mailing documents once per week, following established protocols and procedures.
- Retrieve voicemails twice daily, responding promptly to patient inquiries and requests.
- Answer phones throughout the day, assisting patients with appointment scheduling, verifying appointments, and creating patient cases in AthenaHealth EMR.
- Route incoming calls to appropriate staff members and verify the status of prescriptions and other orders as required.
- Prepare for upcoming appointments daily by verifying patient insurance status, reviewing patient balances, and printing statements.
- Confirm patient appointments two days prior to scheduled appointments, ensuring accurate scheduling and reducing no- show rates.
- Send end-of-day charges via eBridge to billing companies daily, ensuring accurate and timely billing processes.
- Review and complete patient referrals once per week, coordinating with healthcare providers and specialists as necessary.
- Route and address prior authorizations twice per week, ensuring timely approval of medical procedures and services.
- Check patients in for appointments throughout the day, collecting co-pays, and updating patient information as required.
- Check patients out and make future appointments all day, providing excellent customer service and ensuring a positive patient experience.
- Address and route clinic visitors courteously and efficiently, maintaining a welcoming and professional environment.
- High school diploma or equivalent required; Associate degree preferred.
- Prior experience in healthcare administration or medical billing is required.
- Strong understanding of insurance verification processes and medical billing practices.
- Excellent communication and interpersonal skills, with the ability to interact professionally with patients and staff.
- Proficiency in computer applications, including electronic medical records (EMR) systems - AthenaHealth – preferred and Microsoft Office - required.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
- Strong organizational skills and attention to detail, with the ability to multitask effectively in a fast-paced environment – Required.
- Flexibility to adapt to changing priorities and work schedules as needed.
