    Nations Roof is seeking an experienced and professional Office Assistant to support our Roofcare Sales team and general office support.

    This position is based in Mobile, AL and will be 100% in office with a Monday-Friday schedule 7:00 am to 3:30 pm.

    Nations Roof is one of the largest commercial roofing contractors, ranked in the Top 5 Roofing Contractors in the US. Our projects range in scope from large scale new commercial construction, industrial, hospitality, distribution centers, retail centers, office buildings, multifamily and green roofs to large renovations of existing buildings.

    Function: Responsible for providing support for executives and account managers of the RoofCare sales team. Responsibilities span a range of subject matters including CRM maintenance, tracking, and training, commission tracking, bookkeeping, and accounting, customer relationship management, and administrative duties. Processing invoices; maintaining databases, collecting expense data, and reporting.

    • Assist with the maintenance of data in the Salesforce CRM system. Tasks may include getting new Regional Account Managers (RAM's) set up, updating NAM assignments, preparation of various reports, and other tasks as assigned.
    • Assist with report(s) preparation.
    • Commissions:
      1. Assist the regional controller with the analysis of the prior month's invoice activity and the calculation of commissions due on T&M Service work from the prior month.
      2. Validate Salesforce awarded opportunities as part of the process for calculating commissions on construction and RE service work when due.
      3. Perform other tasks and reporting associated with this process, as assigned. Maintenance and updates Salesforce. Keeping the appropriate team members informed of status.
    • Maintain the Prepaid Expense account supporting schedule and prepare reconciliation.
    • Credit Card Expense system:
      1. Review and approve expense reports submitted by cardholders
        • Flag questionable charges to the cardholder and superiors
      2. Post imported card transactions
      3. Reconcile the account in accounting software to the statements as due.
      4. Record the payment that's made by others. Report discrepancies to the regional controller.
      5. Facilitate investigation of questionable charges with card management team.
      6. Assist with new and replacement cards and handle all admin work required for maintenance of the account.
    • Other bookkeeping and accounting tasks as assigned.
    • Additional duties related to all aspects of accounting and office duties as directed by Administrative Manager.

    Skills/Qualifications:

    • 3- 5 years minimum of experience in construction and/or sales office administration and accounting
    • Above average Excel ability that includes creating and maintaining sundry spreadsheets and workbooks. Tables, pivot tables, look ups and indexing skills are preferred.
    • Salesforce experience is a plus
    • Bookkeeping and accounting experience that includes various areas of responsibility (e.g. accounts payable, cash management, general ledger, etc.).
    • Comfort and demonstrated success working in a fast-paced environment where time constraints are important.
    • Attention to detail.
    • Strong communication skills, written and verbal.
