    Salary range: $85,000-$95,000

    Position Summary:

    The Registrar oversees all aspects of the Registrar's office, including areas such as supervising Registrar's Office staff, managing student records, maintaining official and unofficial transcripts, administering grade petitions and the graduation process, monitoring academic guidelines, auditing degrees, communicating with other departments and sharing data, and related matters. The Registrar also ensures compliance with Family Rights and Privacy Act and all other applicable laws and regulations.

    Essential Functions and Principal Accountabilities:

    Record Retention:

    • Manage, develop and implement systems to maintain student academic records including online and electronic degree audit reporting systems.
    • Administer storage, security, accuracy, and preservation of academic credentials in accordance with VLGS policy, accreditation standards, and privacy laws, including FRPA.
    • Interpret and enforce academic rules and regulations; monitor academic standing; coordinate probation, dismissal, early intervention status, suspension, class ranking and dean's lists, as appropriate.
    • Serve as Primary Designated Student Official (DSO) and Exchange Visitor Information System (SEVIS) Official responsible for updating the account with SEVIS, and submitting annual verification and periodic renewals.
    • Update faculty, staff, and students with information related to courses and the registration process including Independent Research Projects, Advanced Writing Requirement, Externships, etc.
    • Oversee registration for all other Master's and Juris Doctor students including creating cohorts for 1L Juris Doctor students, maintaining waitlists, processing withdrawals, creating registration groups, creating class schedule, assigning classrooms, and presenting at registration workshops and fairs.
    • Maintain and update the Course Catalog and Course descriptions and links for Campus Web for each semester (including contacting faculty, sending them old descriptions and gathering all changes).
    • Identify students on probation, early intervention status, or dismissed at the conclusion of each semester.
    • Compile reports on retention, attrition, enrollment, accommodations, etc.
    • Complete reports including for ABA/IPEDS/NECHE/USNews/Library/Admissions reports and surveys as applicable.
    • Evaluate data management software and implement best practices to automate student record reporting.

    Department Supervision:

    • Supervise Registrar's Office personnel, which includes allocating work, training, promotion, enforcement of internal procedures and controls, and problem resolution; evaluate performance and make recommendations for personnel actions; motivate employees to achieve peak productivity and performance.
    • Train staff to use Jenzabar and any other related systems necessary for the efficient operation of the Registrar's Office.
    • Oversee department budget.

    Committee and Community Relations:

    • Develop creative solutions to serve a student body that includes a mix of Master's and Juris Doctor students engaged in both remote and in-person learning.
    • Serve as a non-voting member on the Committee on Standards including attending all meetings, circulating petitions and relevant documents to the Committee members, communicating decisions to students, drafting memos listing graduating students for Committee approval, and tracking changes to the Academic Regulations.
    • Serve as a non-voting member of the Curriculum Committee including attending all meetings and updating course listings to reflect any changes made by the Committee.
    • Collaborate with other departments as needed to share information and create systems needed to ensure accurate and efficient use of student information across the institution.
    • Serve as an academic advisor. Assist all students with registration process and serve as primary point of contact for students enrolled in the Extended Scheduling Option.
    • Create and publish grade distributions at the end of each semester.
    • Oversee assessments and schedule accommodated assessments.
    • Distribute diplomas at Commencement.
    • Other responsibilities as needed.
    Requirements:

    Required Education, Skills and Experience:

    • Master's Degree required; completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
    • At least 5 years of experience in higher education directly related to the duties and responsibilities specified or a combination of education and experience resulting in comparable knowledge and skills. Experience above and beyond the minimum education requirement may be substituted on a case-by-case basis.
    • Experience managing a team or a combination of education and experience resulting in comparable knowledge and skills.
    • Understanding of, appreciation for, and commitment to inclusion, including the ability to work with students, faculty, and staff from diverse backgrounds, identities, and viewpoints.
    • Ability to work with strong attention to detail and a high-level of accuracy.
    • Ability to develop and maintain recordkeeping systems and procedures.
    • Strong English-language interpersonal and communication skills. Ability to communicate effectively, both orally and in writing.
    • Ability to gather data, compile information, and prepare reports.
    • Strong skills in Microsoft Office Suite, including Outlook, Office Suite, Microsoft Teams.
    • Knowledge or ability to thoroughly master Jenzabar system, Infomaker, ImageNow and other platforms.
    • Must be able to adapt to new and emerging technology as established and communicated by the law school.
    • Knowledge of academic standards governing student probation, dismissal, suspension, and/or expulsion.
    • Ability to maintain confidentiality of records and information and impart confidential information.
    • Ability to make independent administrative and procedural decisions and judgments on sensitive, confidential issues.
    • Ability to adapt and apply the rules, regulations, and laws regarding student records, FRPA laws and confidentiality practices and processes. Ability to analyze and solve problems, organize resources, and establish priorities.
    • Strong customer service and problem-solving skills.

    Other Requirements:

    • Requires the ability to use a telephone and computer and be physically present on-campus for student interactions.
    • Ability to perform all essential functions of the job with or without basic accommodations.
    • Ability to prioritize multiple tasks and deadlines and reorganize under pressure.
    • Ability to work independently and within a team.
    • Ability to manage the pressure of multiple deadlines.
    • Must be able to work legally within the United States without sponsorship.
