    Job Summary


    Reviews and administers leave requests, including but not limited to medical illness, sabbatical leave, military leave and Family and Medical Leave Act (FMLA) requests for eligibility.

    Administers FMLA Leaves, including intermittent leaves, related to employee's own or family member's illness and military leaves, the District's Wage Continuation program, sabbaticals and other leave programs as assigned for all District personnel.

    Provides technical assistance to the Leave Administration and Absence Management Department. Develops and maintains various leave administration databases and spreadsheets. Tracks compliance and generates reports as requested. Assists with special projects as needed.
    Essential Functions


    • Receives and responds to correspondence and phone calls related to employee requests for medical leave.
    • Ensures that all leave requests and processes are executed in accordance with established timelines.
    • Communicates by letter, phone and email with employees, principals/supervisors and union reps, as necessary, to administer the District's Intermittent FMLA and other leave of absence programs.
    • Assists with auditing and updating departmental procedures for processing employee medical leave requests to ensure compliance with laws, regulations and District policies.
    • Maintains leave-related medical records in compliance with laws, regulations and District policies.
    • Monitors Sick Leave Expiration Benefits for Unpaid Leave and Wage Continuation Programs.
    • Enters information into the Human Resource Information System (HRIS) pertaining to the employee's leave and ensures that the system accurately reflects the employee's status and paid leave utilization.
    • Audits and monitors employee leave accrual banks and sends corrections and adjustments to the Payroll Department.
    • Maintains data and spreadsheets.
    • Develops and maintain reports; enters new and edits existing information in HRIS system and leave administration databases as well as extracting information.
    • Works with the manager and maintains online information.
    • Gathers information for and assists with the Americans with Disabilities (ADA) Accommodation processes as needed.
    • Works with supervisors/principals and Leave Administration team to identify and address those employees who may have misused sick leave benefits.
    • Assists with special projects as needed (e,g. development of leave-related policies and protocols; integration and testing of leave administration processes into HRIS system).
    • Generates reports for management review and analyzes data from reports.
    • Performs compliance projects as assigned.Minimum Requirements
    • Bachelor's degree from an accredited college or university.
    • Two years of full-time, paid professional experience which has included significant oral/written communications, program administration, data entry and creating, formatting or maintaining databases and has included working with absence administration guidelines and administrative processes with an emphasis on FMLA and other mandated leave programs.
    Knowledge, Skills and Abilities


    Demonstrated knowledge of:
    o Leave Administration regulations and processes with emphasis on FMLA administration.

    o Computer software applications that are used to create or maintain databases; design spreadsheets; create reports and documents. o Office principles, practices, and procedures required; HR processes and programs preferred.


    Skill in:
    o Prioritizing and managing competing assignments and deadline driven processes. o Clearly-stated communications skills via letters, phone and email.

    o Articulating complex policies and procedures to a diverse constituency.


    Ability to:
    o Learn District procedures, policies and processes related to District Leave Administration and Absence Management programs.

    o Exercise attention to detail and follow-up with multiple time sensitive tasks. o Maintain necessary records and files, compile information and prepare reports.

    o Learn ADVANTAGE HR (or other HRIS system), particularly as it applies to leave administration and absence management.

    o Learn District HR policies and practices and apply them to functional responsibilities. o Communicate effectively, both verbally and in writing.

    o Establish and maintain effective working relationships.
