About the Role


The HR Associate serves as a member of the Cara Collective HR Team and will be tasked with a variety of items in all HR functions across the enterprise such as recruitment, onboarding, offboarding, and payroll.

The HR Associate will be responsible for maintaining and organizing sensitive data and providing quality customer service to internal and external stakeholders.

The HR Associate will play a key part in supporting Cara Collective HR operations, contributing to the development of a positive work environment, and ensuring the efficient management of our HR processes.


The Responsibilities of the HR Associate

Human Resources & Payroll (65%)

  • Assist with daytoday administrative duties and operations of the HR department.
  • Maintain, update, and audit both physical and digital employee records, including personnel and transitional worker files, ensuring accuracy and compliance.
  • Coordinate and take minutes for HR initiatives such as meetings, training sessions, and surveys, while also actively participating in and organizing staff engagement events aimed at enhancing the employee experience.
  • Assist the team with employee inquiries concerning HR matters, including rules, regulations, policies, and procedures.
  • Conduct initial orientation for newly hired employees, including completing HR orientation and Paycom onboarding for Cleanslate and Cara Connects transitional workers, providing handson technical support as required.
  • Ensure transitional worker job assignments and external managers are accurately entered into Paycom in a timely manner.
  • Assist with the biweekly payroll process for Cara Collective and its multiple Social Enterprises, offering backup support and completing additional payroll duties as needed.
  • Provide support to employees, transitional workers and external managers with payroll and the payroll system.
  • Process timesheets promptly for Cleanslate and Cara Connects transitional workers on a weekly basis.
  • Coordinate paycheck delivery; sort and distribute paychecks.
  • Pull necessary payrollrelated reports for the Finance Department, Contracts Department, and Social Enterprises.
  • Collaborate with the Finance Department and employees as it relates to returned payroll funds.
  • Help maintain data integrity in the payroll system by updating forms and inputting information such as new hires, terminations, title changes, pay increases, direct deposits, grant enrollments, etc.

Recruitment (15%)
- conducting phone
screens, scheduling interviews, processing background and reference checks, and the overall tracking of the recruitment process.

  • Support the Senior Director of HR in planning and actively contributing to our talent acquisition strategies across the enterprise.

Benefits 10%

  • Support the HR team in tracking employees' insurance and benefits eligibility, schedule new hire benefits meetings, and maintain benefits records.
  • Assist in the processing of benefits, including but not limited to,pretax benefits, phone reimbursements, and 401(k).
  • Support the gathering and processing of data and reports for all benefits audits including the annual 401(k) audit.

Compliance 10%

  • Timely completion of I9's for new hires and rehires.
  • Ensure compliance with company policies and procedures and legal regulations.
  • Support the HR team with the State of IL and City of Chicago Harassment Prevention and Bystander Training compliance.
  • Assist with reporting requirements, including generating reports on PTO, ACA, 401(k), EEO, and fulfilling other requests as necessary.
