- Processes and responds to incoming inquiries (phone, email, chat) regarding information about the community, visitation opportunities, informational materials, location, lifestyle, and homes.
- Completes outgoing marketing calls to those who have visited The Villages and expressed ongoing interest in our community.
- Follows a strategic line of questioning to determine customer dissatisfaction with their current situation as well as those opportunities offered in The Villages that provide solutions to customer needs.
- Develops relationships and build bonds to develop trust and confidence, acting as a trusted advisor.
- Recommends appropriate visit arrangements and make reservations when applicable.
- Accommodates special provisions pertaining to a visit when necessary.
- Conducts subsequent customer follow-up providing additional contact or information as warranted.
- Completes regularly scheduled outgoing follow-up tasks on behalf of the organization.
- Updates and maintains work related materials and knowledge to include (but not limited to): product knowledge, lifestyle advantages and amenity enhancements.
- Reaches out to guests post visit to garner feedback on their experience, deepens our relationship through further discovery and clarify next steps assisting the future resident in moving forward.
- Utilizes applicable computer software programs to maintain customer information to include (but not limited to):
- Discovering and documenting customer wants, needs, desires.
- Grading the level of interest and time frame of visit/purchase.
- Scheduling computer activities (follow-up, mailings, interest, etc.).
- Updating personal contact information.
- Recording customer interactions.
- Provides relocation services to those customers who request assistance selling their existing home by:
- Responding to customer inquiries
- Researching the customer's local market and select agents to provide Comparative Market Analysis (CMA)
- Determining the appropriate follow up steps unique to each customer's scenario
- Maintaining contact with the listing agent and customer when applicable
- Providing contact information for local moving companies.
- Monitoring status of listed accounts
- And/or referring to fellow Relocation Coordinators
- Utilizes office computer, office equipment (copier, fax, etc.) and a host of other software applications, including Microsoft Office Suite and subsequent CRM tools and software.
- Attends special meetings, educational sessions and assists leadership with training team members when asked.
- Associate degree (A. A.) or equivalent from a two (2) year college or technical school; or two (2) years related experience and/or training; or equivalent combination of education and experience.
- Experience or training in sales, guest services, hospitality, customer service or related field preferred.
- Must possess a valid, active Florida real estate license.
- Experience with CRM software a plus.
- Computer and communication skills needed - along with the ability to multi-task, set priorities and manage time effectively.
- Must be proficient in Outlook; functional in Excel and Word and navigating specific web sites.

This role with a wealth of knowledge, attention to detail, genuine care, strategic questioning, intuition, information gathering, and follow up provide the ultimate customer experience. This 'front-line' position ensures the customer receives a positive, inviting, and helpful first interaction; creating lasting impressions. Relationship building and communication primarily take place over the phone, through email or chat services. All these activities are hosted in a fun team focused environment in partnership with Properties of The Villages Sales & Marketing Representatives. In addition, this position, with an active Florida real estate license, works with The Villages Relocation Services to assist future residents with their move to ensure a cost effective and worry-free relocation to The Villages. This position is an integral part of the Sales Team. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers.
Full-Time, On-Site position.
Competitive salary based on experience, starting at $17.00 per hour.
