- Work closely and effectively to understand the priorities, commitments and needs to be proactive and supportive.
- Effectively manage demanding and constantly changing and calendars for meetings, and appointments for internal and external stakeholders.
- Assist in the coordination and logistics of all critical staff and business meetings and logistics both onsite and offsite. Ensure that costs remain within budget and that preferred vendors are used.
- Monitor and respond to their emails and keep them apprised of important and time sensitive messages. Forward onto others for action if necessary and follow-up in a timely manner.
- Sets the calendar for recurring reports and activities, delegates tasks on behalf of them and holds the team accountable assuring excellent quality of data and meeting assigned deadlines.
- Prepare and maintain confidential organizational reports and records, with follow-up on pending matters as appropriate. Handles confidential material and information with necessary discretion.
- Oversee leadership communications which includes critical meetings, manage agenda, capture action items, manage meeting logistics, publish upcoming agenda topics & action items.
- Responsible for planning Board Meetings. Prepares and distributes agendas, provides resources, attends meetings and take meeting minutes.
- You will act as the point of contact, managing incoming requests and troubleshooting issues. Draft correspondence, manage emails, and handle any other communications on their behalf.
- Manage expense reports and coordinate domestic & international travel for the leadership team.
- Provide support and assistance as needed to other C-Suite staff.
- Associate degree required / Bachelor's preferred.
- 7+ years of experience supporting senior executive staff or an equivalent combination of education and experience.
- Excellent calendar management skills, including the coordination of complex executive meetings.
- Strong experience scheduling domestic and international travel arrangements and logistics for management.
- Experience working with a Boards of Directors or equivalent population.
- Experience assisting with the creation of PowerPoint presentations.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
- Strong verbal and written communication skills.
- Ability to treat confidential information with appropriate discretion.
- Security clearance preferred. Will be required upon hire.
