    Job Title: Administrative Assistants

    Employment Type: Contract

    Work Hours: 40 hrs./week

    Work site: 100% On Site

    Location: 217 South Salina St., Syracuse, NY 13202

    Job Duration: 2 Years

    Closing: 02/29/2024.

    Minimum Education:
  • High school diploma or equivalent


  • Work Experience:

  • At least 1 year of administrative experience, preferably with some medical experience
  • Familiarity with medical terminology and procedures is a plus
  • Proficiency in Microsoft Office Programs


  • Job Duties:

  • Responsible for presurvey packets, FOILs, waivers tracking, facility roster database maintenance, mortality database input, and tracking incident reports for mandatory reporting.
  • Utilize ASPEN and ACO for surveillance reports, complaint tracking, posting SODs and letters for surveillance activities, and HCS for secure file transfer.
  • Handle CMS uploads, QIES Casper presurvey reports, Life Safety Code reports, 2803d abuse cases to DLA, and track CAN training programs and emergency response activities.
  • Prepare letters including survey, complaints, and PSR's, and assist in closing complaints.
  • Maintain up-to-date program information on boards, logbooks, and in ACO/ACTS.


  • Without these positions, the following impacts would occur:

  • Lines would go unanswered, impacting public and provider communication.
  • Reports would not be issued, potentially endangering residents' health and safety.
  • FOILs and Enforcements would not be processed, leading to compliance issues.
  • Impact on surveys being conducted due to lack of presurvey preparation.
  • Inability to monitor mandated incident reports, death reports, waiver requests, and investigations.

  • Strong communication and organizational skills
  • Proficiency in Microsoft Office Programs
  • Ability to work independently and prioritize tasks effectively


  • Misc. Information:

  • Work schedule: Monday to Friday, 8:30 am to 4:30 pm
  • Paid parking available at approximately $100 per month
  • Centro Bus Service is available for public transportation
  • Role is 100% onsite at the Office of Aging and Long Term Care
  • In-person interviews will be conducted
  • Training will be provided
