    Position Summary:


    The Donor Resource Specialist (DRS) is primarily responsible for the allocation of Organs, the coordination of recovery arrangements, the recovery of Organs for transplant and/or research, and the oversight of the donor clinical operations staffing and processes.

    Performs all duties and responsibilities in compliance with OneLegacy Policies and Procedures; regulations as outlined in UNOS, FDA, AOPO, EBAA, AATB, other applicable federal, state, and local laws.


    Duties & Responsibilities:

    Essential Job Functions:

    Organ Allocation:

    • Coordinates activities for allocation and placement of local organs including but not limited to heart, lungs, liver, kidneys, pancreas, and intestine for transplant and/or to local, regional, and national centers.
    • Maximizes the allocation of organs via timely organ offers, organ specific testing, courier and organ shipping logistics, recovery surgeon activation and timely and accurate verbal communication with transplant centers.
    • Maintains competency in the use of all systems utilized in the electronic allocation of organs, including but not limited to Digital Donor and UNET.
    • Demonstrates competency in the overall organ allocation process and can accurately allocate organs in the event of a UNET system outage.

    Recovery Coordination:
    Arranges recovery surgeon transportation when necessary.
    Dispatches appropriate recovery personnel on organ cases.
    Provides detailed instructions to procurement staff.
    Verifies documentation of organ recovery including but not limited to Date/Time
    of Death, anatomy, diagnostic testing results, etc.
    Manages courier activity and confirms delivery of all local and import organs.

    • Coordinates activities for allocation and placement of import kidneys. Provide guidance for imports of extra-renal organs when needed.
    • Sets up any organ biopsy and reporting results to applicable Organ/Tissue/Research Centers.
    • Maintains accurate, real-time documentation for all coordinated cases on Digital Donor, UNET, and other documentation sources assigned.
    • Maintains real-time communication with Procurement Staff, Family Care Center Staff, Family Services, Clinical Resource Specialist, and Management/Administrator on Call (AOC).
    • Consults and maintains real-time communication with the Manager/AOC on any unusual circumstances in organ placement and recovery of organs.
    • Timely reports adverse lab values such as but not limited to positive cultures to all affected Organ/Tissue/Research Centers.
    • Performs post organ recovery follow up such as but not limited to UNET feedback, potential transplant recipient (PTR), organ disposition.
    • Maintains competency of organ perfusion device monitoring and adjustments as needed. Reports all perfusion device clinical data to all relevant parties as needed and appropriate.
    • Discards organs as deemed unsuitable for transplant.
    • Conducts accurate and detailed shift exchanges with oncoming staff to ensure continuity of
    organ allocation.

    • Assists with staff training at the direction and oversight of management.

    Clinical Resource Coordination:

    • Coordinates clinical staffing of all active and potential organ donors. Collaborates with all appropriate departments to meet the clinical staffing needs of the day.
    • Manages daily and ad hoc conference call communications as needed and appropriate.
    • Collaborates with all appropriate parties to assess and determine suitability of all organs for potential allocation for transplant and/or research.
    • Assesses all donors for whole donor or organ/tissue/data specific research project suitability and ensures research needs are met as needed.
    • Monitors organ donor case timing (authorization to OR entry) and collaborates with all necessary parties to determine actions to minimize overall case time as appropriate and applicable.
    • Collaborates with Transplant Coordinators and Transplant Surgeons to resolve issues, uphold governing standards, and build working relationships.
    • Consults with on-call SOP or AOC for any situations that fall out of the normal course of activities for policies and practices.
    • Manages organ donor transport logistics from donor hospital to a OneLegacy organ donor management and recovery facility.
    • Coordinates with all relevant parties to schedule OR times for organ donor recoveries.
    • Ensures staff utilizes digitalDONOR Mobile Application GPS tracking during scheduled work hours including entering staff activity on all referrals and cases with a beginning and end time to enhance time-keeping records.
    • Notifies and receives approval from on-call SOP for staff activity that includes any overtime hours.
    • Performs QA of documentation entered into digitalDONOR and DonorNet on referrals and/or cases. Including review of serology report, ABO and labels.
    • Ensures all organ recovery and coroner paperwork is accurate and all tasks completed prior to clearing staff from site.
    • Ensures documentation in digitalDONOR required for referral and case management is completed during real-time referral and donor management.

    Secondary Job Functions:

    Donor Allocation Precepting:

    • Functions as a primary trainer for new hire DACs under the direction of the Donor Allocation Leadership team.
    • Collaborates with Donor Allocation Leadership to monitor and maintain department staff allocation competencies.
    Utilizes all applicable resources to train new staff and monitor existing staff competencies including but not limited to:
    Voiceprint review
    Case note review
    Active call auditing
    Skills assessment testing
    Knowledge base testing

    • Documents all training and competency management documentation on internal training tools and controlled training forms.
    • Works with Donor Allocation Leadership and Quality Systems for audit preparation and maintains availability to participate in audits as needed.
    • At the direction of Donor Allocation Leadership, creates, updates, and maintains all job aids, external transplant/research/recovery partner schedules, and department communication pathways.
    Transplant Center Collaboration

    • Works in collaboration with Donor Allocation Leadership and Transplant Center Administration, for OneLegacy Organ specific Committee Meetings.
    • Prepares data presentations for Organ specific Committee Meetings.
    • Helps monitor key transplant center partner data/behaviors and maintains data/behaviors in
    appropriate and accessible systems.

    • Reviews OPTN pending policy implementations and works with Management and Quality Systems to update all applicable OneLegacy policies and practices.

    Renal Pulsatile Perfusion:

    • Maintains clinical competency of the aseptic preparation of kidneys including dissection and anatomy review and placement of cannulated and prepared kidneys on the perfusion device.
    • Maintains competency of organ packaging per OTPN policy.
