    Job Description

    Main Duties and Responsibilities in providing support to the Executive Assistant to the CEO

    · Prepare, compile, and sort documents for data entry in word documents, spreadsheets, etc.

    · Scan documents into document management systems or databases

    · Store completed documents in designated locations

    · Maintain logbooks or records of activities and tasks

    · Respond to requests for information and access relevant files

    · Print information when required

    · Comply with data integrity and security policies

    · Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, keeping the office tidy, and reordering supplies.

    · Assist with expense reporting

    · Provide real-time scheduling support by scheduling appointments/meetings/deliveries and preventing conflicts.

    · Screen phone calls and routing callers to the appropriate party.

    · Greet and assist visitors.

    · Maintain polite and professional communication via phone, e-mail, and mail.

    · Anticipate the needs of others in order to ensure their seamless and positive experience.

    Education and Experience

    · High school diploma

    · Proficient in relevant computer applications such as MS Office, Outlook, QuickBooks, Expensify, other platforms

    · Accurate keyboard skills and proven ability to enter data at the required speed

    · Knowledge and application of correct spelling, grammar, and punctuation

    · Knowledge of clerical and administrative procedures

    · Knowledge or quick acquisition and knowledge of different timesheet and communication programs, accounting software, etc.
