    Currently, we are seeking a Customer Service Coordinator to join our dynamic team.


    JOB SUMMARY

    The Customer Service Coordinator will handle service calls from customers, dispatch technicians, and manage work assignments effectively. This role involves recording completed tasks, developing schedules for field staff, and ensuring customer and departmental objectives are met.


    DUTIES/RESPONSIBILITIES:

    • Communicate with customers and technicians via phone to prioritize work assignments
      • Manage contracts, including creating new contracts, adjusting budgets, and updating contract files
      • Generate work orders and update them accordingly
    • Coordinate material calculations and enter purchase order details
    • Provide logistical support to maximize work output
    • Assign technicians based on skills and location to address customer issues
    • Ensure timely documentation exchange with technicians, including work orders and task sheets
    • Monitor project and service contract finances, escalating any risks to the service manager
    • Schedule preventive maintenance tasks in advance
    • Report customer concerns promptly to the service manager
    • Handle Collective Bargaining responsibilities, including Union reports and rate changes
    • Identify potential credit risks among customers
    • Forward leads from interactions with technicians to the Sales Manager
    • Perform other relevant duties as assigned

    SUPERVISOR RESPONSIBILITIES: None


    QUALIFICATIONS

    • High School diploma or equivalent
    • Minimum of 5 years experience in customer service or dispatch roles

    KNOWLEDGE, SKILLS & ABILITIES

    • Proficiency in using phones and computers, particularly with ERP and various software programs
    • Strong organizational skills with the ability to manage paperwork effectively
    • Capability to work well under pressure and maintain high levels of organization
    • Excellent communication skills and the ability to build positive relationships with customers, vendors, and internal teams
    • Professionalism and the capacity to handle demanding situations, especially during extreme weather conditions
    • Strong written and verbal communication skills
    • Demonstrated professionalism and tact in interactions
    • Ability to maintain regular attendance

    WORKING CONDITIONS

    This role is based in a professional office setting, utilizing standard office equipment such as computers, phones, and filing systems on a daily basis.

    PHYSICAL DEMANDS

    • The role involves sitting, standing, walking, typing, reaching, bending, climbing stairs, talking, and listening.
    • Occasional lifting or movement of office supplies up to 20 pounds
    • Capability to work effectively under pressure, especially during extreme weather conditions
