    Highlights of the job

    We are hiring a full time Administrative Assistant II working out of both our Round Rock administrative office and our Lexington, TX office.

    This individual is accountable for a full range of administrative and senior level leader support duties for the Sandow leadership team, ensuring timely adherence and deadlines. The Administrative Assistant II directly reports to the Director, Texas Water Operations in the Lexington Office. Initial duties will include assistance in setting up and managing the new Lexington office.

    This individual will prepare meeting schedules, record meeting minutes; format, edit, and distribute various communications; prepare presentations, participate in coordination of Business area and EPCOR-wide social events; maintain associated records and data management; contribute to the development of new approaches to improve work processes; coordinate the day-to-day operation of the office and the primary liaison of the Business area, ensuring timely and accurate distribution of information and materials.

    What you'd be responsible for


    •Manage and coordinate the Directors calendar schedules and provide other administrative duties.


    •Provide administrative support to the Senior Managers, Managers, and Supervisors.


    •Provide support in the preparation of monthly status report by compiling safety statistical information.


    •Provide onsite administrative support for Safety related tasks as needed


    •Microsoft Word and PowerPoint document preparation and editing


    •Monitor and track monthly reports and logs


    •Travel arrangements


    •Expense reconciliation with accuracy and in a timely manner


    •Arrange catering for meetings, training, and other events.


    •Manage and maintain meeting room calendars and bookings.


    •Order and manage office supplies and stationery.


    •Organize and coordinate mail distribution and deliveries.


    •Organize and maintain distribution lists, phone directory, poster boards


    •Manage office furniture request and computer moves


    •Prepare and submit mileage reimbursement claims.


    •Site contact for office building issues.


    •Site contact for the repair, replacement and transfer of phone, computer, and other IT devices.


    •Other administrative duties as assigned.

    Future duties include:


    •Assist with Asset Management System verifying that critical spares are accounted for in the warehouse at Sandow and if not bring to management's attention


    •Assist with the purchase of critical spares and other various maintenance items as needed

    What's required to be successful


    •High school diploma and 1-2 years college coursework in business, finance or related field. Associate's degree is an asset


    •3 to 5 years office administration experience including supporting senior level leadership.


    •Strong command of oral and written communication skills including the ability to compose correspondence and proofread documents for accurate spelling and use of grammar.


    •Proficiency in Oracle, and Microsoft Office Suite Programs.


    •Experience in video conferencing, teleconferencing.


    •Strong interpersonal, analytical, report writing and communication skills.


    •Ability to prioritize and multitask in a fast-paced environment.


    •Perform work with a high degree of accuracy.


    •Demonstrate attention to detail.


    •Excellent organizational skills and be willing to take initiative by creating organization methods for current or new processes.
