Job summary
The Executive Coordinator provides high-level administrative project and operational support to the Executive Director serving as a central coordination role for Board activities executive initiatives and organization-wide projects.Responsibilities
- Executive & Board Support: Serve as a primary administrative and coordination partner to the Executive Director Coordinate Board of Directors meetings including scheduling agendas materials minutes and follow-up tracking Prepare drafts of executive communications reports presentations and internal documents Track action items deadlines and priorities for the Executive Director and ensure timely follow-through Act as a liaison between the Executive Director and internal/external stakeholders as directed Maintain confidentiality and exercise sound judgment in handling sensitive information
- Project Management & Special Initiatives: Coordinate execute special projects at the direction of the Executive Director Develop project timelines task lists and tracking tools to support cross-department initiatives Monitor progress identify gaps or delays proactively communicate updates Support internal process improvement documentation efforts Assist with planning execution organization-wide initiatives assigned
- Data Reporting & Administrative Operations: Maintain accurate data records related to Board activities executive projects organizational initiatives Support basic reporting data tracking document management across shared systems Assist with data hygiene file organization internal dashboards trackers Support expense tracking documentation administrative workflows assigned
- Internal Communications & Systems Support: Support internal communications on behalf of the Executive Director including drafting updates coordinating logistics Assist maintain calendars documents collaboration tools Technology-related projects system improvements directedProvide basic IT coordination such as troubleshooting minor technology issues coordinating external vendors communicating system updates outages staffOther Duties Assigned (5%): Assist other tasks communications-related duties needed RMHC INW mission.
