- Front door reception and phones: Answer incoming internal and external calls and provide exceptional customer service by using critical thinking, problem solving, and/or forwarding the call to the appropriate department.
- Office Management: Provide ongoing administrative support to the office, driving organizational success through the management of daily operations and special projects. Pay attnetion to the building an dkeep it neat/orderly. Any maintenance issues to be reported to operations for repairs. Montior and maintain office equipment and supplies; request repair or restocking when necessary.
- Administrative Support: Willing and able to support other executive departments, including HR, Finance, Operations, and Development including but not limited to research and data compilation. Coordinate administrative meetings/locations and maintain administrative vacation schedule.
- Mail and general email: Oversee the eneral info email inbox for the company as well as the PO box, picking up and distributing mail.
- Contract management: Organize and track all company contracts, from general administrative contracts to client contracts.
- File Retrieval: Manage the off site file retrieval and archive system, retrieving and returning requested files.
- Fleet Maintenance: Coordinate/track vehicle maintenance and associated invoicing, license plate renewals. Communicate and coordinate insurance renewal cards and icense plate renewals with house staff.
- Pruchase Card Program: Scan and code all administrative staff receipts. Support the house staff for receipt scanning and coding.
- Proven experience as an office manager, front office manager or administrative assistant. Able to demostrate knowledge of office administrator responsibilities, systems and procedures.
- Able to handle matters expeditiously, proactively, and follow through on projects to successful completion, often with dealine pressures.
- Proficiency or knowledge in the following applications: Michrosoft office/365 including Excel, Word, and Powerpoint, Goodle Workspace (gmail, etc.)
- Strong organizational and planning skills in a fast paces environment
- Hands on experience with office machines (e.g. fax machines, printers, postage machine)
- Excellent time manaegment skills and ability to multitask and priortize work
- Extreme attention to detail and excellent problem solving skills
- Excellent written and verbal communication skills
- A creative mind with an ability to suggest improvements
- High school diploma or equivalent required; Associates degree in office administration or related field preferred.
- At least two years of administrative and clerical experience required.
- Reliable vehicle to get to and from office and to pick up mail
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds at times.

Description
Third Way Center is an area nonprofit whose mission is to provide a continuum of services in a home-like environment where at-risk youth can work through their traumas, learn to take responsibility for their actions and lives to become productive members of society.
Third Way Center is looking for an Office Manager to organize and coordinate administration duties and office processes. Your role is to ensure a high level of organizational effectiveness and communication throughout the office. A successful Office Manager should have experience with a variety of office software, equipment and tools to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of day-to-day operations. Previous experience as a Front office manager or Office administrator would be an advantage.
Primary Duties and Responsibilities
Requirements:
We have a generous vacation package. This position comes with full benefits including medical, health, dental, vision, 403b w/match, flex, accident, and disability options. As your employer we pay 72.5% of your premiums for health and dental for the first five years. That increases to 90% after your fifth anniversary.
