The Accounts Payable Specialist is responsible for assisting the finance team.

This role will be responsible for managing and maintaining financial records, with a particular emphasis on processing invoices and other bills.

This role is essential to the ongoing integrity of proper internal controls and procedures being followed, in compliance with corporate policies.

This position is accepting part-time or full-time applicants.


ESSENTIAL FUNCTIONS

  • Reviews internal documents and performs a threeway match with the invoice against the open purchase order and proof of delivery.
  • Prepare, verify, and process invoices for appropriate approvals and backup
  • Work with our vendors to promptly resolve issues related to invoicing and meet all commitments in a timely manner.
  • Investigate issues, ask, and offer help when needed.
  • Ensure that invoices are dealt with in a timely manner and accurate
  • Process vendor payments
  • Review and process expense reports
  • Reconcile vendor statements
  • Assist with yearend audit including pulling vendor invoice voucher packages, providing explanation of supporting materials and procedures, and preparing any other necessary data
  • Assist with special projects as required
  • Other duties assigned

REQUIRED EDUCATION AND EXPERIENCE

  • Accounting degree or 2year minimum experience in a similar role is a plus
  • Experience with invoice coding for assurance of proper jobcost tracking is a plus
  • Experience with Docuware is a plus
  • Must have familiarity with Microsoft Outlook, Word, and Excel
  • Discrepancy resolution, i.e. quantity, item charge and timely followup

TRAVEL REQUIREMENTS

  • No travel required.
