    Administrative Specialist – K6)

    The Division of Addiction Research and Treatment under the Department of Psychiatry for the University of Maryland School of Medicine has an exciting opportunity for an Administrative Specialist. The Division has a tripartite mission of Clinical, Education, and Research agendas, serving our surrounding community and the State of Maryland, and providing expertise at a national and international level. The selected candidate will perform duties that support the mission and vision of the division.

    PRIMARY DUTIES

    • Provides daily administrative support for the division clinical staff, regular staff, and trainees.
    • Identifies and assists in the development of future business process changes to administrative unit. Ensures effective use of resources within department and may supervise support staff.
    • Adheres to policy documents including standard operation procedures, presentations, and other procedural information.
    • Performs daily administrative duties related to operations, scheduling, and supply requests.
    • Provides support for study and subject payments on grants.
    • Maintains division-related documentation and records storage.
    • Supports Graduate Medical Education reporting and evaluations.
    • Prepares and assembles statistical data and reports for use in expenditure tracking, and maintains data to coordinate necessary computer files.
    • Supports purchasing and travel management for administrative units/department, including procurement card purchases, initiating purchase requisitions, and processing travel reimbursements.
    • Prepares travel journal entries and reviews travel expenditures.
    • Apply knowledge in human resource transactions to administrative unit needs and processes. Manages and attends to confidential matters of employment, credentialing, payroll accounting, and records management processes for the administrative unit.
    • Serve as a liaison between unit and Financial Services (Payroll & Budget), Human Resources, and Strategic Sourcing and Acquisition Services and partners with them on campus-wide initiatives.
    • Responds to inquiries with accurate and policy supported information. Contacts appropriate resources when unable to find factual support for answers.
    • Performs other duties as assigned.


    Qualifications

    Education: Bachelor's degree in business administration, public administration, finance, accounting, human resources, or other related field.

    Experience: Three (3) years of related experience in human resources and business, budget, or financial operations.

    Other: Related experience may be substituted for minimum education.

Ability to effectively communicate both verbal and written thoughts, ideas, and facts. Ability to work cooperatively with others and independently.     Hiring Range: $66,000 – $77,000 per year (Commensurate with education and experience)
